Job description

The Executive will play a pivotal role in supporting Singapore Cancer Society’s (SCS) Cancer Prevention and Control strategies through the HPV Vaccination Programme.

We are seeking a detail-oriented and organised individual to coordinate and manage the operational aspects of the programme. This role combines customer service, event coordination, administrative support, financial processing, and data management to ensure smooth programme delivery and strong stakeholder engagement.

You will also support the preparation of reports and presentations to communicate programme outcomes and strategies to internal and external stakeholders, including funders.

Key Responsibilities:
1. Programme Operations & Customer Service
  • Serve as the primary point of contact for HPV programme enquiries

  • Coordinate and manage HPV-related events, including logistics planning

  • Support Women’s Gynaecological Cancer Campaign operations and provide administrative assistance, where required

  • Build and maintain strong working relationships with participating GP clinics and healthcare providers

2. Financial Management & Claims Processing
  • Verify patient invoices submitted by clinics for accuracy and completeness

  • Review documentation and ensure all required information is provided

  • Submit claims for reimbursement in a timely manner

  • Generate monthly reports on programme expenses and HPV doses administered

  • Assist in drafting Income & Expenditure (I&E) statements

  • Track and reconcile programme-related financial transactions

3. Data Management & Quality Control
  • Input and maintain patients’ details in the programme masterlist

  • Clean and validate data to minimise errors and ensure accuracy

  • Flag discrepancies or errors in invoices and follow up for resolution

  • Generate reports and analytics to support programme monitoring and evaluation

  • Ensure compliance with data protection and privacy regulations

4. Administrative Management
  • Oversee day-to-day administrative operations, including liaison with finance, operations, and legal teams

  • Support department budget management and financial reporting

  • Oversee vendor payment processes

  • Coordinate procurement activities and ensure compliance with organisational guidelines

5. Other Functions
  • Support outreach initiatives, including community and corporate talks, and other Community Engagement Cluster events

  • Draft reports, project status updates, and annual report write-ups for management and key stakeholders

  • Manage phone calls and respond to general enquiries, where necessary

  • Support cross-deployment for other departmental events and activities, as required

Key Requirements
  • Minimum Diploma in a related field

  • 1–2 years of experience in healthcare administration, data management systems, or a similar role (preferred)

  • Knowledge of HPV vaccination programmes or immunisation services is an advantage

  • Strong proficiency in Microsoft Office, particularly Excel

  • Excellent attention to detail with strong analytical skills

  • Strong organisational and time management abilities

  • Effective written and verbal communication skills

  • Experience in financial processing and reconciliation

  • Strong problem-solving skills with ability to work independently

  • Excellent interpersonal skills and professional demeanour

  • High level of accuracy and ability to handle sensitive and confidential information

  • Strong team player with the ability to collaborate across departments
