Responsibilities

  • Manage calendars, coordinate meetings, and prepare materials.

  • Arrange travel logistics and prepare itineraries.
  • Prepare and submit expense reports via Concur.
  • Handle general office support duties.

This role follows a hybrid work model which consists of 4 days in office per week. Additionally, you will receive 5 additional remote days per quarter to use at your discretion, subject to manager approval.

We are seeking a highly organized and proactive Executive Assistant (EA) to provide comprehensive supportto our Investor Relations SEA, and Wealth Team. This newly created role is critical in ensuring smooth operations, efficient scheduling, and exceptional client engagement across multiple functions.

The ideal candidate is someone who is:

  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Flexibility to manage tasks and meetings across global time zones, particularly with counterparts in the US and Europe.
  • Proactive problem-solving with a positive, can-do attitude.
  • High attention to detail and accuracy.
  • Demonstrates humility and treats all individuals with respect, regardless of rank or position.
What you will do:
  • Executive & Team Support: Manage calendars, coordinate meetings (physical and virtual), prepare materials, and liaise with overseas teams.
  • Investor Relations & Wealth Team Support: Maintain CRM systems (Salesforce), assist with investor materials.
  • Travel & Event Coordination: Arrange travel logistics, prepare itineraries, and support investor and client events.
  • Expense Management: Prepare and submit expense reports via Concur, ensuring compliance with policies.
  • General Office Support: Handle front desk duties, manage courier services, and cover for other EAs when needed.
What you bring:
  • Minimum 3 years in administrative or executive support roles
  • A strong background in sales servicing or customer service is highly desirable
  • Experience in Wealth Management or Investor Relations will be considered an advantage
  • Proficiency in MS Office Suite
  • Familiar with Salesforce or similar CRM applications
  • Familiar with Concur
