Role Purpose

The Executive Assistant (EA) provides high-level, confidential and proactive support to the General Manager of the Bombardier Aerospace Service Centre in Singapore. This role is essential in ensuring smooth executive operations, effective stakeholder coordination, and the professional execution of leadership, communication and engagement activities within a regulated aerospace MRO environment.

The EA serves as a trusted gatekeeper, coordinator and liaison—supporting the General Manager in managing priorities, communications and site-level activities while maintaining discretion, accuracy, and strong operational awareness.

Executive & Calendar Management
  • Manage the GM’s complex calendar, appointments and reminders across multiple time zones.
  • Proactively coordinate domestic and international travel itineraries, including flights, accommodation, transport, and meetings.
  • Anticipate potential scheduling conflicts and resolve priorities independently where appropriate.
Executive Communications & Liaison
  • Manage the GM’s email inbox and correspondence; draft professional communications when required.
  • Serve as the first point of contact for internal stakeholders and international Bombardier offices.
  • Liaise confidently with senior leaders, external partners and visitors while maintaining the highest level of discretion.
Meetings, Presentations & Documentation
  • Organize executive and leadership meetings, including agenda preparation, presentation slide support, minutes-taking and action tracking.
  • Ensure meeting rooms are professionally prepared, including audio‑visual readiness and catering arrangements.
Site & Executive Event Coordination
  • Plan and facilitate internal and external events such as:
  • Employee All Hands
  • Leadership briefings
  • Women-in-Aviation events
  • Customer, OEM, and CJI visits
  • Coordinate security clearances, compliance documentation and visitor access requirements with relevant teams.
Awards, Recognition & Employee Engagement Support
  • Act as the liaison for RMP / CREDO recognition programs and Long Service Awards.
  • Coordinate annual photo sessions for award recipients.
  • Manage ordering of recognition materials (pins, certificates, etc.).
  • Support award presentations during Quarterly All Hands or leadership events.
Marketing & Administrative Support
  • Assist the Marketing team with administrative needs such as receiving brochures/materials and coordinating merchandise orders.
  • Serve as a reliable administrative interface between leadership and support functions.
Organizational & Records Management
  • Maintain and update the monthly organizational chart in the Management folder.
  • Ensure proper version control and appropriate document storage.
Procurement & Vendor Coordination
  • Raise Purchase Requisitions (PRs) in accordance with company procedures.
  • Support the creation of new vendor/supplier codes.
  • Track approvals and ensure timely processing of documentation.
General Administration & Ad‑hoc Support
  • Arrange business cards for employees upon request.
  • Provide ad‑hoc administrative support assigned by management.
  • Serve as backup for Reception duties to ensure continuity of front-office operations.

Experience & Qualifications
  • Minimum 6 years of experience as an Executive Assistant or Senior Administrative Assistant, supporting senior leadership.
  • Experience in aviation, engineering, manufacturing, or other regulated industries is an advantage.
  • Prior exposure to multinational or matrix organizations preferred.
