Job Profile Summary
  • The Executive Assistant (EA) provides secretarial and administrative support to Senior Management, including scheduling meetings, managing calendars, arranging business travel, and handling related activities.
  • The EA will perform administrative tasks, prepare meeting agendas, and take minutes during meetings. The role also involves maintaining accurate records and documentation with strict confidentiality, attending to phone calls, redirecting them when necessary, and handling incoming/outgoing correspondence.
  • The EA should be meticulous with strong attention to detail, highly adaptable, and equipped with excellent organisational skills. He/She must be able to work well under pressure, demonstrate strong teamwork, and show commitment to succeed in a dynamic corporate environment. Proficiency in Microsoft Office is essential.
Key Responsibilities
  • Coordinate and prepare meetings for senior executives, including related communications and corporate documentation.
  • Prepare meeting agendas, take accurate minutes, and follow up on action items.
  • Format and prepare various documents (e.g., presentations, reports) and maintain records with strict confidentiality.
  • Manage travel arrangements for top executives and the Investor Relations team.
  • Handle all incoming and outgoing correspondence.
  • Screen and attend to phone calls, redirecting them when appropriate.
  • Submit claims for benefits, travel, and business expenses on behalf of executives/team members.
  • Support the Office Director with other administrative tasks when required.
Candidate Requisites
  • Diploma or Degree in Business, Secretarial Studies, or related field.
  • About 5 years’ experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management.
  • Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Good written and verbal communication skills, with professional business etiquette.
  • High level of discretion and ability to maintain confidentiality.
  • Strong organisational and time-management skills; able to prioritise and multitask effectively.
  • Proactive, resourceful, and adaptable with the ability to anticipate needs.
  • Team-oriented, with the ability to build strong working relationships across all levels.
