Admin Executive

Reporting to the Business Partner, HR, the incumbent will provide broad spectrum HR and admin support to the team. The role involves contract management, employee engagement, documentation, handling sensitive information and supporting the department in general admin matters. The ideal candidate will be an organised and resourceful individual with good communication skills and the ability to work effectively with diverse stakeholders.

Working location: 501 Airport Road (Nearest MRT - Eunos or Tai Seng)

Key Responsibilities
  • Administer contracts (new and renewal) of new hires and employees who are on fixed term contract or re‑employment contract.

  • Manage new hires’ onboarding and orientation, employee relations, grievance handling, and exit management etc.

  • Communicate and actively engage employees and key stakeholders via formal and informal channels.

  • Keep track of staff confirmations and retention payments.

  • Coordinate medical screening for employees per Company policy and requirements, and to upload medical report, if necessary, to ensure compliance to regulations.

  • Assist to order (e.g. low inventory) and issue uniform, safety shoes and necessary safety equipment/ gear to new hires and existing staff who require replacement.

  • Submit e‑invoices online and issuance of Purchase Orders.

  • Coordinate with respective department on security clearance and access matters

  • P‑File update & record for new hires and resignees.

  • Time Event –Closing dates, ETC manual time in/out recording and all other related.

  • Provide day-to-day support in broad-spectrum HR and Administrative functions like data entry, filing and document organisation.

  • Assist in work pass matters (new applications, renewals, cancellation).

  • Maintenance of Company’s property – e.g., office/ computer equipment, communications infrastructure, car park allocations etc.

  • Manage and order stationery supplies.

  • Assist to organise company activities, team building activities and employee care and welfare events etc.

  • Attend to HR queries from employees and elevated, if necessary.

  • Any other ad‑hoc duties as assigned.

  • Excellent people and engagement skills with the ability to work with all levels of staff

  • Knowledge on local manpower regulations to ensure statutory compliance will be an advantage

  • Proficient with HRIS, SAP and excel Microsoft Excel will be an advantage
