Responsibilities

  • Manage the CEO’s calendar, scheduling and prioritising meetings.
  • Coordinate domestic and international travel arrangements.
  • Screen and manage phone calls, emails, and correspondence.
  • Draft, proofread, and prepare reports and documents.
  • Prepare meeting materials and track follow-up actions.
  • Maintain confidentiality of sensitive information.
  • Perform basic financial and accounting record keeping.
  • Liaise with professional accounting firms for accurate reports.
  • Monitor and categorise CEO’s business expenses.
  • Assist in preparing monthly or quarterly financial reports.

Job Summary

The Special Executive & Financial Support role is a dual-function position designed to support the CEO in commercial administrative and financial tasks. The ideal candidate will be highly organised, detail-oriented, and capable of handling a variety of tasks ranging from personal assistance to accounting-related support. This position requires a high level of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities
  • Manage the CEO’s calendar by scheduling, coordinating, and prioritising meetings, appointments, and events to optimise time efficiency
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodations, and detailed itineraries
  • Screen and manage phone calls, emails, and correspondence, acting as a professional liaison between the CEO and internal/external stakeholders
  • Draft, proofread, and prepare reports, presentations, and other documents to support executive communications
  • Prepare meeting materials, take accurate minutes, and track follow-up actions to support effective meeting outcomes
  • Maintain confidentiality by handling sensitive personal and professional information with discretion and integrity
  • Perform basic financial and accounting record keeping by entering data and organising financial documents including invoices, receipts, bank statements, purchases, payments, and reconciliations
  • Liaise with professional accounting firms to facilitate the generation of accurate financial reports
  • Monitor and categorise CEO’s business expenses to ensure accurate tracking and reporting
  • Support budgeting processes and assist in preparing monthly or quarterly financial reports to inform decision-making
  • Assist in preparing documentation for tax filings by maintaining comprehensive records of business-related expenses

  • Degree in Business Administration, Marketing, Accounting, or a related field preferred but not required; candidates with over 5 years of relevant experience without a degree will also be considered
