What’s the job?

The Events Executive generates new event business, manages the event sales cycle from lead to close, and maintains client relationships. His key responsibilities involve prospecting, creating proposals, negotiating contracts, and coordinating with internal teams to ensure successful event execution.

Your day-to-day

Event Sales

  • Identify and pursue new sales opportunities through prospecting, lead follow-up, and networking.
  • Develop and present compelling proposals and quotations that highlight the value of services. Negotiate terms such as price, delivery, and specifications to close sales.
  • Generate new client relationships while also nurturing existing client accounts to earn repeat and expanded business.
  • Achieve and exceed sales goals and targets.

Event Coordination and Execution

  • Assist in end-to-end planning and seamless execution of events, including seminars, weddings, corporate meetings/gatherings, social dinners, etc.
  • Schedule site inspections and monitor activities to ensure that the events meet the requirements of clients prior to signing contract.
  • Innovate, adapt and work closely with clients to produce a plan that meets their event requirements, needs and expectations when required.
  • Initiate billing procedures, ensure that deposits and/or credit applications are received with adequate information and within an acceptable time frame prior to signing contract.
  • Prepare/process proposal, agreement, Banquet Event Orders (Beo) and Change Log. Always ensure the accuracy of bookings, event requirements and banquet event order (BEO) paperwork.
  • Collaborate with chef on menu requests if required.
  • Work closely with operations team to ensure preparation and seamless execution of committed events.
  • Coordinate logistics for events, including setup, registration, catering, and audio-visual requirements if required.
  • Ensure timeliness and effectively responds to and handles any issues that may arise pre and post events by clients.
  • Focus on client experience and is present pre and post events to ensure a seamless and great experience for clients.
  • Interacts with guests to obtain feedback on product quality and service levels when required.

Reporting and Analysis

  • Maintain accurate records of event sales activities and client interactions.
  • Prepare regular event sales reports for management.
  • Gather and analyse market and customer information to support sales strategy.
  • Perform other duties as assigned by supervisor / management. In addition, perform related duties and special projects as assigned.
What we need from you
  • Diploma in Hotel Management or equivalent
  • Minimum 1 year experience in event sales/event sales coordination work; preferably with hospitality related experience
  • Must be able to work on weekends and public holidays
  • Commercial awareness and a passion for the hospitality/event industry.
  • Strong sales, persuasion and negotiation skills
  • Proficient in administrative and organisational skillsCompetent in Microsoft Office operating system/software
  • Proficient in written and spoken English and with good communication skills
  • A positive and keen to learn attitude
