Event Executive (Education Fair Specialist)
We are looking for an experienced and detail-oriented Event Executive to plan, coordinate, and execute events, with a strong focus on education fairs, academic expos, and institutional roadshows. The candidate will play a key role in managing logistics, coordinating with vendors and partners, and ensuring that each event runs smoothly and achieves its objectives in brand visibility, student engagement, and partnership development.
Key Responsibilities
Event Planning & Coordination
- Plan and execute education fairs, open houses, academic exhibitions, and related events from concept to completion.
- Develop event proposals, timelines, and budgets in alignment with organizational goals.
- Liaise with venue providers, contractors, universities, schools, and service vendors to secure arrangements.
- Prepare floor plans, booth layouts, and manage setup and teardown operations efficiently.
Stakeholder Management
- Coordinate with participating schools, universities, and educational partners to ensure accurate and timely booth arrangements.
- Handle inquiries from students, parents, and educators before, during, and after the event.
- Build and maintain strong relationships with sponsors, exhibitors, and venue partners.
Marketing & Promotion
- Work with the marketing team to promote the fairs through online and offline channels.
- Support in designing event collaterals such as banners, posters, flyers, and social media content.
- Assist in media coordination, photography, and post-event publicity.
Operations & On-site Management
- Oversee registration counters, crowd flow, and event logistics during setup and show days.
- Manage event volunteers, student ambassadors, and support staff.
- Troubleshoot on-site issues swiftly to ensure smooth execution.
Post-Event Activities
- Prepare post-event reports including attendance, feedback, and ROI analysis.
- Support in follow-up communication with exhibitors, partners, and leads generated during events.
- Maintain an archive of event materials and best practices for future use.
Requirements
- Diploma or Bachelor’s degree in Events Management, Marketing, Communications, or related field.
- Minimum 2–3 years of experience in event management, preferably in education fairs or exhibitions.
- Strong organizational and project management skills with attention to detail.
- Excellent communication and interpersonal skills.
- Able to multitask and work effectively under pressure in fast‑paced environments.
- Proficient in Microsoft Office and familiar with event management tools or CRM systems.
- Willing to work on weekends or travel for events when required.
Preferred Skills
- Experience working with schools, universities, or education agencies.
- Knowledge in booth layout planning and vendor negotiation.
- Basic design or digital marketing knowledge (Canva, Meta Ads, or similar).
- Fluency in additional languages (Mandarin, Bahasa Indonesia, or others) is an advantage.
