Job summary

About the Role

The individual is responsible for the timely, accurate and efficient preparation and management of documents. To control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.

Key Responsibilities
  • Generate and compile project progress reports, including relevant data and statistics.
  • Provide comprehensive administrative support to the project team.
  • Assist the Project Manager in calculating quantities for variations and preparing progress claims.
  • Support the team with applications and preparations related to site clearance.
  • Consolidate all essential project documentation, such as worker lists, Method of Statements (MOS), risk assessments, Operation & Maintenance Manuals (OMMs), catalogues, drawings, and training materials.
  • Manage personnel registration on the Hubble Portal for ERCS and approved vendor staff.
  • Monitor and prepare weekly reports on discrepancies between project/testing & commissioning trackers and the Main Contractor’s uploads in Procore (including material submissions, shop drawings, MOS, etc.).
  • Maintain an organized and up‑to‑date project filing system.
  • Draft, edit, and compile detailed project progress reports.
  • Oversee the overall document control process for the project, ensuring timely and accurate management of all documentation.
Requirements
  • Minimum NITEC or Equivalent
  • 2-3 years of experience in document control or a similar role, preferably in the construction industry.
  • Strong knowledge of Microsoft Office Suite
  • Excellent organizational and multitasking abilities to manage multiple projects and deadlines effectively.
  • Experience working collaboratively in a team environment, supporting project managers and engineers.
