We are looking for a Customer Service/Admin Executive to join our team and ensure the smooth running of our operations.
Key Responsibilities
Oversee Operations
- Manage the day-to-day operations in the office, ensuring smooth workflow across all functions.
- Coordinate with team members to ensure efficient event planning, logistics, and client services.
- Assist with catering operations, ensuring high-quality standards are met.
Client and Event Management
- Support corporate clients with event planning, organisation, and coordination, ensuring all needs are met.
- Work closely with clients to provide personalised quotes and invoices for services.
- Coordinate event logistics, including driver schedules and delivery arrangements, ensuring timely execution.
Financial and Administrative Duties
- Handle quoting, invoicing, and payments, ensuring accuracy in all financial transactions.
- Assist with basic accounting tasks such as tracking invoices and payments.
- Perform inventory audits and monitor stock levels, ensuring all necessary supplies are ordered and replenished.
- Assist staff with monthly expenses and claims.
Compliance and Standards
- Ensure all operations meet company standards and comply with health and safety regulations.
- Drive adherence to Standard Operating Procedures (SOPs), policies, and service standards across the team.
- Regularly audit safety, hygiene, and service practices to maintain compliance with internal and external regulations.
Team Collaboration
- Build strong working relationships with team members, other departments, and vendors to ensure smooth communication and cooperation.
Customer Care
- Ensure excellent customer care by addressing client inquiries, resolving complaints, and delivering exceptional customer experiences.
- Maintain a positive and professional approach when dealing with both customers and colleagues.
Requirements and Skills
- Proven experience in an administrative or office management role (experience in event planning is a plus).
- Proficiency in MS Office and general office management systems and procedures.
- Strong time management and organisational skills with the ability to prioritise multiple tasks.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Comfortable managing a multicultural team and fostering a collaborative environment.
- Experience in managing budgets, quoting, and invoicing.
- Flexibility to work rotating shifts, including weekends and public holidays as needed.
