Construction Project Administrator
We are seeking a detail‑oriented Construction Project Administrator to support our site teams in the daily administration of construction projects. This role plays a key part in ensuring accurate document control, timely submissions, effective coordination, and well-maintained project records to support smooth project execution.
Key Responsibilities
- Provide day‑to‑day administrative support to project site teams and site office operations
- Manage project document control systems (drawings, submissions, RFIs, correspondence, approvals, records)
- Maintain and update project registers, trackers, and logs to ensure compliance and traceability
- Coordinate document submissions and follow up on approvals and outstanding responses
- Support meetings coordination, prepare minutes, and track action items
- Assist with procurement, delivery, invoice, and basic commercial administrative documentation
- Support QA/QC and EHS documentation, including audit readiness (ISO‑related records)
- Assist with manpower records, site access administration, and onboarding documentation (where applicable)
- Support project close‑out, handover documentation, and systematic archiving of records

- Highly organized with strong attention to detail
- Familiar with construction project documentation and site processes
- Comfortable coordinating with site teams, consultants, subcontractors, and suppliers
- Proficient in document control, tracking, and administrative coordination
Requirements
- Diploma / ITE / Certificate in Business Administration / Construction / Built Environment or equivalent experience.
- 1–3 years in construction administration, site admin, or document control preferred (fresh candidates with strong admin discipline may apply).
- Good knowledge of basic construction documentation and site workflows.
- Strong proficiency in Microsoft 365 (Excel, Forms, OneDrive, Outlook, PowerPoint, SharePoint, Teams, Word); comfortable with trackers and registers.
- Strong attention to detail, organized, able to multi‑task and meet deadlines.
- Good communication skills; confident liaising with multiple (internal & external) stakeholders.
Preferred (Advantage)
- Experience with document management platforms (e.g., SharePoint, Buildertrend, Autodesk Construction Cloud).
- Experience supporting submissions (materials/shop drawings), QAQC/EHS filing, and project close‑out packs.
- Awareness and/or Internal Auditor Training on ISO 9001 and ISO 45001 standards.
- Prior site‑based experience in Singapore construction environment.
