Administrative Executive (Business Communications & Operations Support)

Company Overview

Logistics 9 is a Singapore-based trading and export logistics company with operational hubs in Yiwu (China) and Hong Kong. We specialize in sourcing, procurement, quality control, and containerized exports for international clients, particularly in Latin America.

As our business expands, we are seeking a meticulous, proactive, and resourceful Administrative Executive who can manage professional business communications and provide operations support to the Director. This role is critical to ensuring smooth coordination with our global partners and freeing up management bandwidth to drive sales growth.

Key Responsibilities
  • Business Communications Draft, manage, and reply to business emails on behalf of the Director in a professional and timely manner. Ensure communication with clients, suppliers, and forwarders is clear, accurate, and documented. Maintain a consistent, professional tone in all correspondence.
  • Excel & Documentation Prepare, review, and update quotations, sales orders, invoices, and other business documents using company templates. Manage and update data in Microsoft Excel, including formulas, formatting, cross-checking, and ensuring data accuracy. Generate reports and summaries from spreadsheets to support business decision-making.
  • Operations Support Coordinate with suppliers, factories, QC teams, and freight forwarders to follow up on shipments and project milestones. Track deadlines and ensure all parties are aligned to avoid delays in production and shipments. Organize and maintain digital records and filing systems for easy retrieval.
  • Administrative Support Assist the Director with day-to-day operational tasks and project management. Maintain confidentiality in handling sensitive information. Identify and recommend improvements to increase efficiency in communication and workflows.
Requirements
  • Diploma or Degree in Business Administration, Supply Chain, Communications, or related field.
  • Proficiency in Microsoft Excel is essential (must be comfortable with formulas, formatting, and structured data handling).
  • Excellent command of written and spoken English. Proficiency in Mandarin and/or Spanish will be an advantage.
  • Strong organisational skills, with the ability to manage multiple tasks and deadlines.
  • Attention to detail, accuracy, and a strong sense of responsibility.
  • Ability to work independently with minimal supervision.
  • Positive, professional attitude and willingness to learn.
Working Hours & Location
  • Monday to Friday: 9:00 am – 6:00 pm
  • Saturday: Half-day work-from-home
  • Location: Singapore office (coordination across international time zones may be required)
Compensation & Benefits
  • Monthly salary: SGD 3,200 – 4,000, commensurate with experience.
  • Annual leave, medical benefits, and other entitlements as per MOM regulations.
