Associate Director of Sales (Catering)
The Associate Director of Sales – Events is responsible for maximizing revenue opportunities in the areas of catering events by driving sales acquisitions, maximizing business opportunities, and increasing business conversions.
The person should be knowledgeable of local and international market trends and would recommend strategic sales initiatives to win the business and maintain the hotel’s market leader position as preferred hotel.
Reporting to the Director of Business Development, the incumbent shall be responsible to:
Marketing Planning
- Actively participate in the development and executive of the Marketing Plan.
- Take ownership in achieving departmental goals, thus contributing to the Hotel Budget.
- Plan and establish goals for department – to motivate and direct staff to achieve the department goals.
- Work closely and proactively with all Senior Sales Managers/Sales Managers on new offerings, pricing structures, room sizes/space availability and all operational issues.
Business Development
- Monitor closely account revenue and business production and adjust strategies, procedures or account coverage as needed to achieve the planned goals.
- Analyse market trends and implement proactive programs with the Director of Sales - Events to improve market share.
- Review direct competition and market changes. To ensure complete awareness by the team on how to always meet these changes and of competitiors’ activities.
- Be responsible for quality control and production performance of group catering revenue and group room nights.
- Develop on-going relationships with customers.
- Prepare monthly group catering forecast and group room forecast eg. Cross selling other M & C Hotels.
Operations for Key Repeat Accounts
- Follow through from enquiries until departure for key repeat accounts.
- Guide the Catering Management team on dealing with special guest requests.
- Ensure system is in place for effective communication s with organizers (such as hand phones, walkie-talkie, emails)
- Disseminate groups related information to other departments.
- Maintain close co-ordination with respective departments on organizers' requirements.
- Be visible to organizers and clients during their events or group dates and check on guest satisfaction.
- Oversee the operation of the functions and work closely with various departments to ensure quality service is always delivered to our clients.
Post-event Follow Up
- Verify charges and layout of invoices prepared by Accounts Receivable and send out invoices and Thank You letters to organisers.
- Obtain feedback from clients and follow through with the necessary actions.
- Refer leads and send events profile information to relevant M & C hotels or RSO (if any).
Communication
- Ensure effective communication and good working relationships within the department and with other departments.
- Maintain close and frequent communication with the Director of Business Development and Director of Sales - Events to maximise the hotel profit through effective yield and space management.
- Conduct and attend meetings as required.
- Maintain timely and responsive communication with clients.
Development of New Concepts
- Continuously seek to improve the working environment of the staff to increase productivity and efficiency.
- Liaise with the F & B Division in the development of new concept / theme menus / setups to cater to guest's needs and to offer better choices to guests to improve revenue.
Staff Development
- Recruit, select, train and motivate Catering Management Team to realise their potential, and to develop individuals for advancement within the M & C group.
- Ensure understanding of job responsibilities, goals and standards of performance for Events Management team
- Conduct formal semi-annual evaluations and on-going coaching and counselling.
Administration
- Ensure highest standards of service and product quality are provided to guests at all times.
- Monitor customers' feedback and follow through with the necessary actions.
- Ensure the upkeeping of the minimum service standards.
- Be responsible for the events distribution system according to group chart.
- Develop lead and handle inquiries for social events. Maximizing upselling when possible.
- Ensure that the information disseminated to the Events Management Team is continuously updated (eg. Banquet Inventory list, menu, beverage list).
Requirements
- At least 4-5 years of work experience in a similar capacity in the hotel industry.
- Energetic, proactive, self-driven, highly motivated and has excellent interpersonal and communication skills.
- Adaptable, determined and be someone who wants to be in a fast paced environment that promotes changes and drive for achievements.
