Job Description

The Division of Graduate Studies (DGS) at NUS Medicine is seeking a proactive, detail-oriented Senior Executive to administer centralized operations for candidature matters across our MSc (Research) and PhD programmes. Serving a dynamic community of over 500 graduate students at any point in time, this role supports end-to-end processes for examinations, admissions, student engagement initiatives, data reporting, and operational programmes.

Responsibilities
  1. PhD Qualifying Examinations (PQE) and Thesis Submissions
    • Handle end-to-end processing, scheduling, eligibility checks, documentation, and follow-ups for PQE, thesis submissions, and examinations for approximately 200-250 students per academic year.
    • Provide timely support and responses to student enquiries through to degree conferment.
  2. Admissions (MSc and PhD by Research)
    • Process applications for two intakes per year (average ~300 applications; total enrolment ~130-140 annually).
    • Ensure accurate, complete documentation and adherence to programme timelines; respond to admission-related enquiries.
  3. Student Engagement and Programme Administration
    • Coordinate the International Buddy Programme (IBP) for two sessions per academic year (~60 students), including buddy assignments, Meet & Chat sessions, communications, and reimbursement processing.
    • Administer research scholar leave records and process Leave of Absence (LOA) applications.
    • Manage the IRIS@NUS research internship programme, including timely allowance disbursement and addressing interns' queries during 2-3 month placements.
  4. Data Management and Reporting
    • Consolidate, clean, and maintain admission and exit survey datasets (~120-140 submissions per academic year) to ensure accuracy, completeness, and timely reporting for analysis.
  5. Events and Web Content
    • Coordinate division-specific events such as orientation and commencement activities.
    • Ensure programme websites are kept current and accurate.
