A leading administrative services provider in Woodlands, Singapore, is seeking an experienced Administrative Officer to provide general support, oversee a small team, and manage office logistics. The successful candidate will coordinate administrative tasks, manage supplies, and support company events. Applicants should have a diploma in Business Administration, 2–4 years of relevant experience, and proficiency in Microsoft Office. Ability to communicate in Mandarin is necessary due to interaction with Mandarin-speaking associates. This position is limited to Singapore Citizens or Permanent Residents.

Working Hours: 5.5 days (8am to 5:30pm, 8am to 12pm)
Provide general administrative support to corporate and operational teams, including documentation, filing, data entry, scanning, records management, and preparation of correspondence, reports, and forms.
Coordinate meetings, schedules, administrative logistics, and meeting room bookings.
Manage office supplies, stationery, vendors, and general office administration.
Lead, supervise, and guide a team of 2–3 administrative staff, including task assignment, workload monitoring, on-the-job training, and daily operational guidance. Act as the first point of escalation for administrative issues.
Handle company accommodation administration, including leasing, handover, maintenance coordination, air-conditioning servicing, issue resolution, and liaison with property agents.
Manage company-wide flight and accommodation arrangements as required.
Ensure office cleanliness, housekeeping, and general tidiness by coordinating cleaning schedules, monitoring service quality, and ensuring proper execution by service providers.
Handle company asset allocation and monitoring, including issuance, usage tracking, return, and maintenance of accurate asset records.
Manage company vehicle administration, including road tax renewal, insurance matters, leasing arrangements, and related documentation.
Oversee uniform allocation, issuance and return, maintain inventory records, and ensure stock levels are kept up to date.
Prepare and process administrative documentation, records, and related payments.
Coordinate and support company events, including team bonding activities, festive events, and company functions.
Review administrative processes and propose practical improvements to enhance efficiency and control.
Ensure compliance with company policies and proper record-keeping.
Any other duties as assigned
Diploma or Degree in Business Administration or related discipline.
Minimum 2–4 years of experience in administrative roles, preferably within the construction or related industries.
Prior experience supervising or guiding junior administrative staff is preferred.
Proficient in Microsoft Word, Excel, and PowerPoint.
Strong hands-on execution capability with good organisational skills.
Good team player with the ability to work independently and take ownership.
Able to communicate in Mandarin to liaise with Mandarin-speaking associates
