Job summary

A leading staffing agency in Singapore is seeking an Administrator cum Sales Support. In this role, you will manage administrative tasks, support payroll processing, and liaise with customers. Proficiency in Japanese is required to communicate with stakeholders in Japan. Candidates should have prior experience in administrative roles and be meticulous with numbers. Responsibilities

  • Issue invoice, PO, and liaise with customers on sales admin related matters.
  • Manage records of inventory and provide shipping instructions to warehouse.
  • Process payroll and make contributions and claims.
  • Liaise with accounting firm for document preparation and audits.
  • Manage accounts receivable and ensure payments are processed.
  • Order stock from Japan and maintain inventory levels.
  • Manage office facilities and replenish supplies.
  • Provide support to expats and respond to customer inquiries.
  • Prepare reports for headquarters in Japan.
  • Perform other adhoc duties as assigned.

Job Description
  • Issue invoice, PO, and liaise with customers on sales admin related matters.
  • Manage records of inventory and provide shipping instructions to warehouse.
  • Process payroll, make CPF and SDL contributions, expense claims and income tax.
  • Liaise with accounting firm in preparation of documents and for audit.
  • Manage accounts receivable and ensure payments are received and processed.
  • Order stock from Japan and maintain inventory levels.
  • Manage office facilities, replenish office supplies and renew contracts as needed.
  • Provide support to expats such as making hotel reservations and other general affair matters
  • Support Sales, respond to customer inquiries and cover in absence when needed.
  • Prepare reports for the headquarters in Japan
  • Any other adhoc duties as assigned by superiors.
Job Requirement
  • Experience in administrative roles and payroll processing is needed
  • Proficiency in Japanese language at advanced conversational level is required to liaise with stakeholders in parent company in Japan.
  • Sales admin and basic accounting knowledge is highly desirable but not a requirement.
  • Meticulous and careful, as this role handles numbers
