Role & Responsibilities

We are seeking a highly organized and proactive Administrative & Finance Assistant to provide essential support to our daily operations. The role focuses on maintaining accuracy and efficiency across core administrative functions, including payroll support, accounts payable, documentation management, and inter‑departmental coordination.

Key Responsibilities
Finance & Payroll Management
  • Prepare and generate monthly employee pay slips.
  • Submit employee payroll requests monthly.
  • Process ad hoc supplier payments and manage timely invoicing and billing duties.
  • Perform monthly employee contribution submissions for CPF.
  • Ensure proper record‑keeping and filing the monthly bank statement including soft copies.
Administration & Documentation
  • Proper documentation and filing all incoming correspondence and organized archiving by classification.
  • Maintain proper soft and hard copy, proper classification for all types of contracts.
  • Proactively notify superior departments before the expiration of relevant contracts.
  • Handle ad‑hoc contract administration.
Inter‑Departmental Coordination & Support
  • Liaise and communicate with colleagues across various departments to address and resolve work matters.
  • Facilitate necessary communication and processing of tasks with other departments to ensure smooth workflow.
  • Execute tasks and responsibilities as directed by management.
Job Requirements
  • Diploma or bachelor’s degree in business administration, Accounting, or a related field.
  • Relevant experience in an administrative or finance support role is highly preferred.
  • Bilingual proficiency in English and Chinese (written and spoken) to liaise with Mandarin‑speaking counterparts/clients.
  • Proficiency in Microsoft Office is essential. Familiarity with basic accounting software is a plus.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to work independently, prioritize tasks, and handle confidential information professionally.
  • Excellent written and verbal communication skills.
