Job summary

A healthcare provider in Singapore is looking for an Administrative Support Officer to provide essential administrative and secretarial support, ensuring the accuracy of patient financial records and inventory management. Job description
Job Scope
  1. Provide administrative and secretarial support in the centre.
  2. Ensure patients and financial accounts data accuracy and consistency.
  3. Maintain and handle accurate inventory of all equipment and consumables.
  4. Update and maintain procedural documentation.
Main responsibilities
  1. Administrative tasks such as sorting and archival of documents, internal dispatching, document mailing, receiving of items and inventory management.
  2. Provide onboarding orientation of new patients and update databases accurately.
  3. Prepare the patient monthly financial accounts and with correct allocations based on subsidy coverage.
  4. Liaise, prepare and submit claims to respective agencies/insurance companies.
  5. Monitor the accounts receivable collection and closely follow up overdue accounts.
  6. Correctly charge patients including regular treatment fees, any additional or ad hoc services.
  7. Issue invoices.
  8. Ensure timely and accurate inventory purchases, manage centre billing activities e.g., create/tracking of orders and invoices, ensure timely weekly/monthly reporting and payment.
  9. Liaise with clinical staff on stock management e.g., adequate, correct and appropriate stocks.
  10. Receive clinic calls especially during in-between patients shift and relay messages to clinic staff if needed.
  11. Coordinate and provide support for centre meetings and events.
  12. Maintain cleanliness, safety and order at the centre’s non-treatment areas.
  13. Monitor and assist with patient scheduling.
  14. Liaise with suppliers/vendors other service providers or patients/family members as needed.
  15. Support the clinical team to assist in patients’ general enquiries.
  16. Perform any other tasks or duties assigned by the head of department.
Other Requirements
  • GCE 'O' / 'N' level or NITEC qualifications.
  • Preferably with at least 3 years’ experience as an administrative/frontline role, preferably in a dialysis setting.
  • Preferably with experience in handling procurement processes.
  • Proficient in Microsoft Office (Word, Excel).
  • Independent, self-driven.
  • Meticulous with strong administration, coordination and organisational skills.
