Job summary

A company in pipeline technologies located in Singapore seeks an Administrative Support staff. The role involves providing general administrative support, performing data entry tasks, and assisting in preparing quotations. Candidates should have at least a GCE 'N' Level qualification and a minimum of 2 years' experience. Proficiency in MS Office and strong communication skills are essential. The work schedule is Monday to Friday, from 8:00 a.m. to 5:30 p.m.

Job description
Duties & Responsibilities
  • Provide general administrative support to ensure smooth departmental operations.
  • Perform data entry duties, filing and maintain accurate records and documentation.
  • Assist in preparing quotations and tender documents; liaise with the Commercial department on quotation matters.
  • Compile and verify data summary (e.g. order amounts, discount rates, etc.), to ensure accuracy in generating bills receivable and final billing before dissemination to clients.
  • Attend project kick-off meetings if required and provide project updates and status summaries to the Operations team and Managers.
  • Coordinate with the QA department and/ or Operations team to resolve service report issues; liaise with HR department for work permit renewals when necessary.
  • Collaborate with Operations and Purchasing teams to ensure efficient and seamless service delivery to clients.
  • Liaise with National Environmental Agency (NEA) on regulatory matters, including renewal of Toxic Industrial Waste (TIW) licence,addition of new waste items, Isotank NEA licence registration.
  • Assist in preparing documentation for audits and inspections.
  • Undertake any other ad-hoc duties as assigned.
Required competencies and certifications
  • Proficient in MS Office applications, especially MS Excel and Word, to perform data management and documentation tasks effectively
  • Strong communication, negotiation, and coordination skills to interact with clients and internal departments clearly and professionally
  • Ability to work independently and as part of a team with minimal supervision to meet deadlines and manage multiple tasks
  • Detail-oriented and meticulous in handling data and documentation to maintain accuracy and compliance
  • Resilient and able to perform well under pressure in a fast-paced work environment
Preferred competencies and qualifications
  • Possess at least a GCE 'N' Level qualification or equivalent in any field
  • Minimum of 2 years’ working experience in a related field
  • Demonstrate resourcefulness, proactivity, and a positive attitude when addressing work challenges
  • Comfortable working with staff at all levels, including managers and directors
