Job Summary

Assist the Principal in the administrative matters. Will play a pivotal role in ensuring the smooth and efficient operation of administrative processes. The responsibilities will span various facets of administrative management, including record keeping, communication, and coordination with staff, students, and external stakeholders. Will be a key contributor to creating an organized and productive environment within the education centre. It requires the ability to work independently, and a high level of professionalism and confidentiality.

Job Responsibilities

(a) Records Management.

  • Maintain accurate and up-to-date records of student enrolment, attendance, and education performance.
  • Organize and manage student files, ensuring compliance with data protection and privacy regulations.
  • Generate reports as needed for management and regulatory purposes.

(b) Communication and Correspondence

  • Facilitate effective communication within the education centre by managing emails phone calls, and other correspondence.
  • Act as a liaison between staff, students, parents, and stakeholders including parent organisation, conveying information in a clear and timely manner

(c) Scheduling and Coordination

  • Assist in scheduling classes, meetings, and events, ensuring optimal utilization of resources.
  • Coordinate logistical aspects of classes, meetings, events and other educational programs.
  • Manage calendars for key staff members.

(d) Facility Management

  • Oversee the maintenance of the physical premises, ensuring a clean and safe environment for students and staff.
  • Coordinate with relevant department for facility-related services and repairs.

(e) Budgeting and Procurement

  • Assist in budget planning and monitor expenditures to ensure fiscal responsibility.
  • Coordinate procurement processes for office supplies, equipment, and other necessary items.

(f) Policy Compliance

  • Ensure compliance with regulatory requirements and internal policies and procedures.
  • Stay informed about changes in educational regulations and implement necessary adjustments.

(g) Human Resources Support

  • Assist in the recruitment / sourcing of relief teachers.
  • Assist the on boarding process of new staff.
  • Maintain employee records and support HR-related activities.

(h) Event Planning

  • Plan, coordinate and execute annual events, such as graduation ceremonies, open houses, and management meetings etc
  • Assist in planning and execution of students’ co-curricular activities. Coordinate with volunteers for any such activities.

(i) Other Administrative Task

  • Assist in any other administrative task as assigned by Principal or General Secretary.

Qualifications & Skills

  • Bachelor's degree or any related field.
  • Proven experience in administrative roles.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficient in using office software and database management tools.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Knowledge of educational policies and procedures is a plus.
