Job Title: Administration Officer (Japanese speaking)

Our client is one of the largest Japanese contractors and is seeking an Administration Officer (Japanese Speaking) to provide administrative and secretarial support, assist in business development activities, prepare proposals and presentations, and manage daily office operations.
Responsibilities
- Manage daily administrative tasks such as scheduling meetings, managing calendars, and organizing and filing important documents and records.
- Assist in preparing proposals, tender submissions, and supporting documentation.
- Develop and organize presentation materials for internal and external use.
- Perform data entry, maintain records, and support data analysis activities.
- Responsible for managing General Manager’s daily schedule, including meetings, appointments, and regional calls.
- Handle travel requests and related enquiries, and Tourist Visa applications for Asia Region HQ.
- Process, verify, and submit travel and expense claims in accordance with company policy.
- Handle claims submitted by expatriates, including entertainment and transportation claims.
- Maintain organized filing of administrative documents, correspondence, and confidential records.
- Other duties or tasks assigned relating to job scope/within job role.

Requirements & Preferences
- At least 5 years of relevant working experience in administration.
- Proficiency in English and Japanese (JLPT N1).
- Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
- Excellent organizational skills with the ability to manage multiple priorities.
- High level of discretion in handling confidential information.
- Able to work independently with strong attention to detail and follow-through.
- Experience in the construction industry.
- Experience working in multinational companies (MNCs).
