Job summary

A leading construction firm in Singapore is looking for an Administrative Support Executive to perform administrative tasks, manage documents, and provide support to the General Manager and other departments. Ideal candidates should have at least 2 years of administrative experience and proficiency in MS Office. Strong communication skills and a Diploma in Business or equivalent are preferred. This role will involve organizing project logistics and maintaining filing systems.

Qualifications

  • At least 2 years of administrative experience.
  • Preferably experienced in construction projects.
  • Proficient in MS Office, especially Word and Excel.

Responsibilities
  • Perform daily administrative tasks.
  • Manage documents and records, maintain an organized filing system.
  • Provide project administrative support and coordinate with the project.
  • Arrange project site transportation and logistics.
  • Sourcing, procuring and maintaining project filing and documentation.
  • Responsible for project correspondences and transmittal documents.
  • Provide clerical and administrative support to the General Manager, Managing Director and Head of Departments.
  • Attend and service staff meetings, take minutes, distribute meeting materials, and attend other meetings/events as required.
  • Establish and maintain computerized databases of contacts, service providers and other relevant information.
  • Establish and maintain filing systems as appropriate.
  • General administrative/clerical support including photocopying, mail-outs, stationery and equipment supplies and filing.
  • Maintain office equipment and liaise with suppliers regarding maintenance.
  • Handle a full spectrum of payment of the basic pay and overtime calculation to processing of workers salary.
Requirements
  • At least 2 years of administrative experience.
  • Preferably experienced in construction projects.
  • Proficient in MS Office, especially Word and Excel.
  • Effective communication and interpersonal skills.
  • Possess a Diploma in Business or equivalent.
