岗位职责
一、行政管理
  • 处理会所日常行政事务,包括文件归档、办公用品采购及库存管理。
  • 管理会所固定资产及库存,确保账实一致、记录准确。
  • 协助基础人事工作,如发布招聘信息、简历筛选、安排面试及接待。
  • 协助核对与支付房租、水电及其他公用事业费用。
  • 统筹安排设备定期维护(空调、厨房设备、灭虫服务等),确保设施正常运作。
  • 管理公司备用金,负责报销登记、台账更新与费用核销。
  • 协助会议资料准备、会议纪要记录,并跟进会议决议的落实。
  • 协调内部沟通流程,促进部门协作,保障会所运营顺畅。
二、活动支持
  • 与团队及设计方沟通,完成海报、易拉宝、邀请函等活动宣传物料的设计与制作。
  • 负责宣传物料的印制、质量检查及现场配送安排。
  • 根据活动需求采购相关物资,并管理活动物料登记与汇总。
  • 提供活动现场支持,包括布场、设备调试、宾客接待及整体流程协调。
  • 协助处理会员咨询,并参与会所日常巡检,维护服务品质。
任职要求
  • 大专或以上学历,主修行政管理、商业管理等相关专业。
  • 至少1年相关工作经验,有行政管理务业背景者。
  • 熟练使用Microsoft Office 软件(Word, Excel, PowerPoint)。
  • 中英文流利,能以双语进行沟通与书写。

Responsibilities
Job Responsibilities
1. Administrative Duties
  • Handle daily administrative tasks such as document filing, office supplies purchasing, and inventory management.
  • Maintain accurate records of fixed assets and inventory to ensure consistency.
  • Support basic HR tasks, including posting job ads, screening resumes, and coordinating interviews.
  • Assist in verifying and processing payments for rent, utilities, and other operational expenses.
  • Coordinate scheduled maintenance of equipment (air-conditioning, kitchen appliances, pest control, etc.).
  • Manage petty cash, reimbursements, ledger updates, and expense verification.
  • Prepare meeting materials, take minutes, and follow up on action items.
  • Facilitate internal communication and cross-department collaboration to support smooth club operations.
2. Event Support
  • Liaise with internal teams and designers to create event materials such as posters, banners, and invitations.
  • Manage printing, quality inspection, and delivery of promotional materials.
  • Purchase and maintain records of event-related supplies.
  • Provide on-site event support, including venue setup, equipment checks, guest guidance, and overall coordination.
  • Assist with member inquiries and conduct routine inspections to maintain service quality.
Requirements
  • Diploma or above in Business Administration, or related fields.
  • Minimum 1 year of relevant working experience, preferably in administrative discipline.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Bilingual in English and Mandarin is preferred (to liaise with Mandarin-speaking colleagues or members).
