Job summary

A leading equipment company in Singapore is looking for an experienced Administrative Support professional to provide comprehensive secretarial assistance to the Directors. The ideal candidate should have a minimum of 3 years' experience managing commercial matters, particularly liaising with government agencies such as BCA. Proficiency in Microsoft Office and an understanding of the local regulatory landscape are essential. A proactive and meticulous mindset is crucial for success in this role, which includes managing staff attendance and coordinating government grant applications.

Job Responsibilities
  • Provide administrative and secretarial support to Directors.
  • Compose and edit letters, memos, documents, emails and ensure follow up with those that require answers, response and written replies.
  • Manage staff attendance (Info-tech), leave, cohesion activity and employee engagement programmes.
  • Manage the corporate insurance to ensure valid coverage.
  • Monitor and renew company certification with government bodies.
  • Attend and respond to government workforce survey and other initiatives.
  • Coordinate on ISO9001 & ISO45001 audits.
  • Manage the Company events, activities and other corporate affairs matters.
  • Manage office facilities, company vehicles, admin software, stationery, and pantry supplies with vendors.
  • Liaise with government agencies, including but not limited to the Building and Construction Authority (BCA), Enterprise Singapore (ESG), Infocomm Media Development Authority (IMDA), and other relevant bodies.
  • Coordinate and manage the preparation, submission, and tracking of government grant applications such as the Productivity Solutions Grant (PSG), Enterprise Development Grant (EDG), Green Mark Incentives, and other relevant schemes.
  • Ensure full compliance with government regulations, policies, and frameworks related to construction, technology adoption, and SME development.
  • Any other ad-hoc duties as and when assigned.
Job Requirements
  1. Candidate must possess at least GCE 'O' / 'N' Level / Diploma.
  2. At least 3 years of experience in managing commercial business matters within a fast-paced environment, including 2–3 years of direct experience liaising with government agencies (especially BCA) or handling government grant applications.
  3. Experience working with INFO-TECH CLOUD HRM System.
  4. Proficient in Microsoft Office and comfortable using online platforms such as the Business Grants Portal and similar digital systems.
  5. Good interpersonal & communication skills to handle all levels of staff.
  6. Resourceful, proactive and initiative.
  7. Good team building and positive mindset.
  8. Meticulous in details and good analytical skills.
  9. Bilingual with Excellent command in spoken & written English.
  10. Strong familiarity with Singapore's regulatory and grant landscape, including schemes from ESG, IMDA, and BCA.
