Qualifications

TOPO Design Studio is a well‑established, boutique design practice, specialising in designing luxury resort and hotel projects around the world.

We are a small company committed to positive, high‑quality outcomes.

We are looking for an enthusiastic and talented Administration Executive to join our team to support our Landscape and Architectural staff in many facets of Administration.

Responsibilities
  • Administration support – assistance with various office tasks to help with the day‑to‑day running of the office
  • Assist in writing project fee proposals and contract variations
  • Bookkeeping and accounting tasks including payroll, invoicing, expenses, outstanding debtors, budgets and tracking of project billing schedules
  • HR support including recruitment, contracts, work visas, staff leave and salary records
  • Travel planning and filing
  • Document organisation, updates and filing
  • Managing office supplies and schedule of office cleaning, air conditioning maintenance, equipment servicing
  • Marketing – updating company portfolio, website and social media pages
Requirements
  • Excellent Microsoft Office skills – Excel, Word, Outlook
  • Accounting and bookkeeping knowledge and experience (Xero preferred)
  • Highly organised with a positive attitude, able to work independently and efficiently while managing multiple responsibilities and deadlines
  • Strong communication and interpersonal skills in verbal and written English
  • Proven experience in a similar role and/or a Diploma/Degree in Business, Administration, Management or relevant field
  • Understanding and competency with social media platforms for marketing purposes an advantage
