Job description
📌 We Are Hiring – Two Positions Available
1️⃣ Admin Executive
2️⃣ Account Executive

Location: Ubi
Working Hours: Monday–Friday, 9am – 6pm

  • Admin Executive: $2,600 – $3,200
  • Account Executive: $3,200 – $4,200
Admin Executive
Key Responsibilities
  • Support sales team scheduling, appointments, and travel arrangements.
  • Manage data entry, sales figures, and preparation of reports, presentations, and documentation.
  • Handle customer enquiries and coordinate with internal departments for order fulfilment.
  • Maintain and update customer databases and manage document filing.
  • Assist with sales order processing, invoice preparation, and cheque handling procedures (including Drop Cheque).
  • Record meeting minutes and follow up on outstanding items.
  • Monitor WhatsApp project group chats for operational updates.
  • Prepare memos, newsletters, articles, and internal communication materials.
  • Manage office operations including supplies procurement and pantry inventory.
  • Coordinate corporate entertainment arrangements.
  • Perform additional administrative duties as assigned.
Requirements
  • Minimum Diploma.
  • 2–3 years of relevant administrative experience.
Account Executive
Key Responsibilities
Full Sets of Accounts
  • Maintain journal entries, general ledger, reconciliations, and month-end/year-end closing.
Accounts Payable
  • Process invoices, manage vendor records, and handle payment functions.
Accounts Receivable
  • Prepare client invoices, monitor collections, and follow up on outstanding payments.
Revenue Recognition
  • Apply project-based billing methods including milestone or percentage-of-completion (POC) models.
Project Costing & Budget Tracking
  • Monitor project budgets, WIP schedules, actual expenses, and prepare variance analyses.
Financial Reporting
  • Prepare monthly, quarterly, and annual financial statements.
Cash Flow Management
  • Monitor daily cash flow and prepare forecasts.
Tax & Compliance
  • Prepare GST, corporate tax documents, and ensure regulatory compliance.
Audit Coordination
  • Prepare audit schedules and support external audit activities.
Cross-Department Coordination
  • Work with sales, design, and project teams on costing and financial matters.
Process & System Support
  • Support internal control improvements and accounting system workflows.
Continuous Improvement
  • Assist in finance-related system enhancements and process efficiency initiatives.
Requirements
  • Bachelor’s degree in Accounting, Finance, or related field.
  • 2–3 years of accounting experience, preferably in project-based industries.
  • Experience in full-set accounting, AP/AR, forecasting, and project costing.
  • Knowledge of QuickBooks, Xero, and month/year-end processes.
  • Advanced Excel skills and experience with POC or milestone revenue models.
