Job Purpose: The Academic Affairs Specialist supports the Academic Director in the operational management and quality delivery of academic programmes, ensuring smooth administration, effective communication with students and staff, and compliance with regulatory and quality standards.
Key Responsibilities
- Support the Academic Director in overseeing day‑to‑day delivery of academic programmes and serve as the primary operational liaison for students.
- Manage end‑to‑end coursework administration, including monitoring assessment submissions, releasing grades, and ensuring timely feedback.
- Assist students with the effective use of learning platforms (e.g., Moodle, Turnitin, SPSS).
- Develop the annual academic calendar and coordinate timelines for assignments, examinations, and academic staff schedules.
- Maintain accuracy and currency of academic materials in the Student Management System (SMS) and partner Learning Management Systems (LMS_PLACEHOLDER).
- Coordinate in‑class assessments, examinations, and student‑related requests, including invigilation scheduling and mitigation requests.
- Compile and submit assessment scripts and reports to internal and external Examination Boards.
- Prepare official graduation lists and oversee production of academic certificates and transcripts.
- Assist in preparation for EduTrust audits and ensure compliance with QA procedures and EduTrust standards.
- Supervise and provide guidance to junior staff within Academic and Student Services teams.
- Collect and analyse feedback from students, graduates, lecturers, and employers to inform Academic Board reporting and continuous improvement initiatives.
- Maintain and update departmental documents, ensuring accuracy, proper formatting, version control, and timely uploads to the central document management system.
- Provide quarterly reports to management with insights and recommendations for improving departmental processes, SOPs, and service delivery.
- Support academic management tasks such as student admissions, SMS administration, academic integrity procedures, and lecturer deployment.
- Deliver onboarding support for new hires, ensuring proper training and orientation.
- Assist in reviewing the Academic and Student Service Department Workplan to monitor achievement of targets.
Requirements
- Diploma or Degree in Education, Academic Administration, or related field.
- Minimum of 3 years of experience in academic administration or related roles.
- Strong organisational and administrative skills, with attention to detail.
- Proficiency in learning management systems and academic software (e.g., Moodle, Turnitin, SPSS).
- Excellent written and verbal communication skills in English.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Knowledge of EduTrust standards and quality assurance processes is an advantage.
