Role Context
The Guest Relations Supervisor - Services will support front-of-house and guest services operations by answering guest questions, arranging requested services, following up on guest needs, coordinating with departments, and ensuring service tasks are completed on time and to quality standards. This role requires strong hospitality communication, attention to detail, service recovery awareness, and the ability to guide work tasks while maintaining the refined guest experience expected in a luxury hotel setting.
Key Responsibilities
- Respond to guest questions and follow up to ensure requests are completed to the guest 's satisfaction.
- Take, confirm, and update reservations and cancellations accurately.
- Provide guests with information about property amenities, services, room features, local attractions, and nearby activities.
- Respond to requests for special arrangements or services including spa services, transportation, religious services, babysitting, financial services, business center support, interpretation services, reservations, dry cleaning, entertainment, sporting events, and shopping.
- Identify suitable providers or contact the correct department to resolve guest requests efficiently.
- Coordinate with appropriate individuals, supervisors, or departments to ensure guest needs are handled professionally.
- Collaborate with management to develop and implement ideas, procedures, and goals that improve department performance.
- Assign work tasks and ensure they are completed on time and according to required quality standards.
- Identify, recommend, develop, and implement improvements that increase efficiency, productivity, quality, safety, or cost savings.
- Welcome and acknowledge guests according to hotel standards with genuine appreciation.
- Anticipate and address guest service needs, including support for individuals with disabilities.
- Prepare, review, and maintain written documents accurately and completely.
- Answer telephones using appropriate etiquette and clear professional communication.
- Speak with guests, colleagues, and supervisors using courteous and professional language.
- Protect guest privacy, coworker privacy, proprietary information, and company assets.
- Follow all company policies, safety procedures, security standards, grooming requirements, and quality assurance expectations.
- Maintain clean and professional uniform and personal appearance throughout the shift.
- Develop positive working relationships with colleagues and support the team in achieving common goals.
- Listen and respond appropriately to employee concerns and service-related matters.
- Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance.
- Perform additional reasonable duties requested by supervisors to support rooms and guest services operations.
Ideal Profile
- High school diploma, G.E.D. equivalent, or similar educational qualification.
- Minimum 1 year of related work experience in guest relations, guest services, concierge, front office, reservations, hospitality service, or rooms operations.
- Minimum 1 year of supervisory experience is preferred.
- No license or certification required.
- Good understanding of guest request handling, reservations, service arrangements, department coordination, and luxury hotel standards.
- Able to communicate clearly and professionally with guests, service providers, supervisors, and colleagues.
- Strong attention to detail when confirming reservations, documenting requests, reviewing written information, and following up on guest needs.
- Able to assign tasks, monitor completion, support team goals, and maintain quality standards.
- Comfortable handling special guest arrangements across multiple service areas and coordinating with different departments.
- Service-minded, discreet, well-presented, and committed to guest privacy and confidentiality.
- Able to remain calm and professional when resolving guest concerns or coordinating urgent service requests.
- Reliable, organized, and able to support continuous improvement in guest services operations.
