Job Overview
Document Controller – Project Records in Riyadh, Saudi Arabia is a construction opportunity with Parsons Corporation for an experienced documentation professional who can manage project records, document workflows, revision control, transmittals, and electronic document management systems. The role supports efficient project delivery by keeping drawings, specifications, reports, submittals, RFIs, contracts, correspondence, approvals, and closeout records accurate, traceable, properly archived, and available to the right stakeholders when needed.
Key Responsibilities
- Establish, implement, and maintain document control procedures, numbering systems, naming conventions, filing structures, and project registers.
- Receive, log, track, file, and distribute incoming and outgoing project documents including drawings, specifications, reports, submittals, RFIs, contracts, correspondence, and transmittals.
- Ensure only current and approved document versions are circulated, while superseded versions are clearly marked, controlled, and archived.
- Maintain electronic and physical document registers with accurate metadata, revision history, status updates, dates, recipients, and approval information.
- Manage document transmittals between clients, consultants, contractors, vendors, internal departments, and project delivery teams.
- Operate and administer electronic document management systems and common data environments such as Aconex, SharePoint, or similar platforms.
- Set up project folders, user permissions, workflows, templates, and document structures in line with company and client requirements.
- Support users with document uploads, downloads, searches, access requests, workflow issues, and basic system troubleshooting.
- Conduct periodic document control checks and EDMS audits to confirm data integrity, consistency, completeness, and compliance with approved standards.
- Check documents before issuance for completeness, correct formatting, naming rules, revision control, required approvals, and distribution accuracy.
- Support quality management system requirements, ISO-related documentation, compliance reviews, inspections, audits, and management reporting.
- Coordinate document flow between internal teams and external parties to support timely review, approval, response, and closeout.
- Monitor overdue reviews, pending approvals, action items, and document-related queries, then follow up with responsible stakeholders.
- Prepare regular document status reports, overdue item summaries, workflow updates, and key document control metrics for project management.
- Support project teams with document retrieval, records searches, information requests, and controlled access to project files.
- Organize and maintain archives for active and completed projects in line with approved retention policies and project closeout requirements.
- Prepare client handover packages including final approved drawings, manuals, certificates, as-built documents, records, and supporting documentation.
- Ensure all final and as-built documents are properly labeled, indexed, stored, and available for long-term reference.
- Handle confidential and sensitive documentation with discretion, accuracy, and professional care.
Ideal Profile
- High school diploma or equivalent is required.
- Post‑secondary education in administration, records management, documentation, or a related field is an advantage.
- Minimum 6 years of experience in document control, records management, project administration, or administrative support.
- Experience in engineering, construction, oil and gas, utilities, infrastructure, or similar project‑based environments is preferred.
- Practical experience using an electronic document management system or common data environment.
- Previous experience as a Document Controller on large‑scale projects, PMO environments, or engineering programmes is preferred.
- Familiarity with document control standards, project records management, revision control, transmittals, and controlled distribution.
- Basic understanding of engineering and construction documentation such as drawings, specifications, RFIs, submittals, method statements, reports, and certificates.
- Exposure to ISO quality management systems or similar compliance frameworks is desirable.
- Strong attention to detail with excellent accuracy, organization, and follow‑through.
- Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Able to manage large volumes of documents and data in a structured, traceable, and deadline‑driven manner.
- Good written and verbal communication skills.
- Able to prioritize tasks, respond to urgent document requests, and work under pressure.
- Customer‑service mindset when supporting project teams, clients, contractors, consultants, and external stakeholders.
