Job Description
We are seeking an experienced Subsea Procurement & Expeditor Coordinator to support procurement, expediting, and documentation processes for subsea piping schemes within oil & gas projects. The ideal candidate will efficiently manage suppliers, materials, and timelines while ensuring full compliance with project standards and delivery schedules.
Key Responsibilities
- Work closely with engineering, project management, and planning teams to identify procurement needs and schedules.
- Prepare & issue RFQs and Purchase Orders as per project specifications and budget.
- Evaluate vendor quotations and negotiate pricing, terms, and delivery conditions.
- Maintain accurate procurement tracking within centralized ERP systems.
- Ensure compliance with company policies, local regulations, and client procurement standards.
- Maintain supplier performance records and manage Approved Vendor Lists (AVLs).
- Monitor PO status and ensure timely delivery of materials and equipment.
- Coordinate with suppliers to obtain production updates, fabrication schedules, and shipping plans.
- Identify delays and implement mitigation strategies; escalate issues when necessary.
- Coordinate logistics, customs, and freight forwarding with internal logistics teams.
- Perform shop visits or remote expediting activities as required.
- Prepare and maintain expediting reports and dashboards.
- Ensure receipt and review of vendor documents (inspection reports, certificates, manuals, etc.).
- Update procurement and delivery schedules in line with project progress.
- Prepare weekly and monthly procurement status reports for internal stakeholders and clients.
Skills & Competencies
- Strong communication and coordination skills.
- Proficiency in ERP systems (SAP, Oracle, Maximo, etc.).
- Solid understanding of INCOTERMS, logistics, and international shipping.
- Knowledge of QA/QC processes and material certification requirements.
- Ability to prioritize and handle multiple tasks under pressure.
- Familiarity with oil & gas codes and standards (API, ASME, ASTM, etc.).
Minimum Qualifications
- Bachelor’s Degree from an accredited institution.
- 8+ years of experience in procurement/expediting within oil & gas or subsea projects.
- Excellent spoken and written English skills, with proven ability to create technical reports.
