If you are here, it is because you know that we are looking for a People Operations Manager.
indigo.ai is the leading platform in Italy for building next‑generation AI Agents that transform the way companies communicate with their customers. Since 2016, we’ve been helping enterprises in industries such as finance, insurance, utilities, retail, and e‑commerce to evolve their Customer Experience through conversational AI. We don’t just “sell software”: we enable a shift in how organizations interact with people, automating millions of conversations every year, reducing operational costs, improving conversion rates, and creating more personalized, scalable, and compliant customer journeys.
Now we are on a mission to scale this technology globally. To do so, we are looking for a People Operations Manager to support our COO in building and running scalable people processes across HR operations, hiring, compensation & benefits, and people programs.
What are we looking for?
We’re looking for a hands‑on People Operations Manager to keep our people engine running smoothly as we grow. You will join the Operations team and report to the COO, owning day‑to‑day HR operations (offers and contracts, onboarding and offboarding, welfare, compliance) and acting as a reference point for managers and employees on people processes. You will also coordinate our hiring process, from job postings and early screening steps to supporting later interview stages. Your work will bring structure, clarity and visibility to everything related to people at indigo.ai.
Key Responsibilities:
- Own day‑to‑day HR operations: job offers, contracts, onboarding and termination operations, internship & apprenticeship activations, and related documentation
- Manage the relationship and workflows with our labor consultant and payroll provider (bonuses, welfare, fringe benefits, leaves, disability hiring, strikes, etc.).
- Support and coordinate the end‑to‑end Hiring Process: create and manage job postings on the ATS, handle hiring requests and candidate pipelines, run the first screening steps (ATS review and 1st calls), and coordinate later‑stage interviews, assessments and offers, ensuring consistency across teams and a smooth candidate experience.
- Coordinate onboarding and offboarding: checklists, devices and tools, access to systems, welfare setup, badges, policies, and account deprovisioning.
- Support Career Development, Performance Reviews and recurring feedback processes: templates, timelines, documentation, and communication to managers and employees.
- Maintain and update people data, org charts, salary & bonus tracking, and people dashboards.
- Support compliance and safety activities (medical visits, mandatory trainings, HR policies) with external advisors.
- Contribute to culture and engagement initiatives (retreats, internal events, surveys such as eNPS, company updates).
- Support basic budgeting and forecasting activities related to people costs (welfare, bonuses, payroll inputs) together with Finance.
You will need:
- At least 3 years of experience in People Operations / HR Generalist / Recruiter / Talent Acquisition roles, ideally in a fast‑growing company or startup.
- Understanding of Italian labor law basics, contracts and payroll inputs, and experience collaborating with labor consultants/payroll providers.
- Hands‑on experience managing hiring processes: writing job descriptions, using an ATS, screening applications, and conducting first interviews.
- Strong analytical and organizational skills, with confidence using spreadsheets (Google Sheets/Excel) and documentation tools (Google Workspace, Notion or similar).
- Ability to handle multiple open positions and HR processes at the same time, keeping structure and priorities clear.
- High attention to detail, reliability, and a process‑driven mindset.
- Excellent communication skills and ability to work cross‑functionally with managers and leadership.
- Fluency in Italian and in English.
- Discretion and a strong sense of ownership when dealing with sensitive and confidential information.
We will really like (but they are not required):
- Experience in SaaS / tech / startup environments.
- Previous exposure to structured hiring frameworks, assessment design, or AI‑based recruiting tools.
- Experience with welfare platforms, bonus/welfare tax optimisation, or benefit regulations.
- Familiarity with ATS and HR tools (e.g. TeamTailor, Breezy, Workable, Deel, or similar).
- Experience coordinating company events, retreats, or engagement and feedback initiatives.
- Genuine interest in AI, startups and how technology can improve both candidate and employee experience.
Our values:
At indigo.ai we prize Vision (curiosity and courage to challenge the status quo), Connection (empathy, candor, and trust), Responsibility (ownership, reliability, and follow‑through), and Excellence (the habit of raising the bar and refining until it’s right). If you naturally think ahead, build strong relationships, take accountability, and obsess over the quality of what you deliver, we’re probably a great match.
