This is an exciting opportunity to join the Education Team at Moorfields Eye Hospital, an internationally renowned centre of excellence. The Optometry Education Coordinator will play a key role in delivering high-quality clinical and academic training. This includes postgraduate modules, CPD courses, student placements, and professional events.

You will lead the coordination of administrative processes that support external commercial programmes—helping to deliver structured training, assessments, and conferences. You'll also manage digital learning platforms (e.g. Moodle), student communications, and faculty support, while continuously improving systems through smarter, automated processes.

The successful candidate will work closely with clinicians, educators, researchers, and external partners to ensure the smooth planning and delivery of structured education.

Strong communication, digital, and organisational skills are essential, along with a flexible and solution‑focused approach. Occasional weekend work is required (approx. 4–5 times per year).

This role is ideal for a highly organised and tech‑savvy professional who thrives in a fast‑paced, collaborative environment. You’ll need excellent communication skills, attention to detail, and the ability to manage multiple priorities independently.

Due to the part‑time nature of this role we are unable to offer sponsorship.

Key Responsibilities
  • Coordinate external clinical education activities, including CPD short courses, modules and student placements.
  • Liaise with higher education partners and internal stakeholders to maintain teaching schedules, programme documentation, and communications.
  • Support delivery of clinical assessments such as OSCEs, written exams, and professional presentations.
  • Manage event logistics for in‑person and online education sessions, including annual conferences and CPD workshops.
  • Administer learning platforms (e.g. Moodle, MS Teams) and ensure digital teaching content is up to date and accessible.
  • Act as the main administrative point of contact for students and clinical educators, managing course queries and onboarding.
  • Develop and document departmental standard operating procedures and identify opportunities for process automation (e.g. using MS Forms or Power Automate).
  • Provide administrative support to governance meetings, including minute‑taking and action tracking.
  • Contribute to quality assurance processes, internal audits, and compliance with regulatory and data governance standards.
  • Work flexibly in a changing environment to support evolving educational needs within the department.
Additional Detailed Responsibilities

Programme and Course Administration

  • Coordinate the delivery of clinical education activities including postgraduate modules, short courses, and optometry placements.
  • Maintain teaching timetables, programme records, and student‑facing documentation.
  • Liaise with internal and external stakeholders, including university partners and regulatory bodies.
  • Support the administration of digital learning platforms and ensure teaching content is accessible and up to date.

Event and Conference Coordination

  • Plan and deliver logistics for in‑person and online events such as workshops, CPD events, and annual conferences.
  • Manage delegate registration, AV/tech set‑up, room bookings, catering, and evaluation surveys.
  • Provide on‑site support at 4–5 weekend events per year (TOIL provided).

Assessment Administration

  • Support delivery of assessments, including OSCEs, written exams, and presentations.
  • Prepare assessment materials, liaise with examiners, and coordinate schedules.
  • Track outcomes, assist with result collation, and ensure assessment standards are met.

Student and Faculty Support

  • Act as the primary administrative contact for students and educators.
  • Coordinate learner onboarding, induction, communications, and progression tracking.
  • Collate feedback, monitor attendance, and support data collection for reporting purposes.

Process Development and Automation

  • Lead on the documentation and refinement of administrative workflows and standard operating procedures (SOPs).
  • Identify opportunities to streamline manual processes using digital tools.
  • Support training of colleagues in new or updated systems and processes.

Governance and Departmental Support

  • Provide secretariat support to Clinical Education Committee meetings and other governance forums (e.g., agendas, minutes, action logs).
  • Liaise with internal Trust departments (e.g. HR, Estates, IT, L&D) to support delivery of education services.
  • Contribute to audits, accreditation processes, and quality assurance activities.

The education coordinator will be a key member of the Commercial Education team at Moorfields Eye Hospital, supporting the coordination and delivery of high‑quality clinical and academic programmes. The post holder will work closely with the Optometry department, the Education Manager and with clinicians, educators, students, and external partners to ensure effective delivery of training across a wide range of internal and external learning activities.

This role will involve building relationships with Moorfields staff such as course organisers, professional services such as marketing and finance and wider education teams. Additionally, the post holder will liaise with UCL staff, external suppliers and course sponsors.

This post is vital to the smooth running of the Commercial Optometry Education function, which delivers structured clinical training, CPD short courses, external conferences, and student placements.

The post holder will provide administrative coordination across the full learner journey—from onboarding and scheduling to assessments and evaluations. This includes creating and maintaining SOPs, supporting teaching logistics, managing virtual learning environments (e.g. Moodle), preparing assessment materials, and acting as a point of contact for both students and faculty.

A strong focus of the role will be on improving and documenting administrative processes and identifying opportunities for smarter, more automated ways of working using digital tools such as MS Teams, Excel, Power Automate, and MS Forms. The post holder will also support governance processes, such as Clinical Education Committee meetings, and contribute to audits and quality assurance reviews.
