THE ROLE:

As EA to the CEO, you'll play a key role in the smooth running of G&B, facilitating effective leadership and supporting efficient ways of working. You will manage the smooth and efficient running of the CEO's busy diary, sometimes across different time zones, handling all correspondence and administration that goes along with it - the CEO’s trusted right hand. You will also be the agency’s eyes and ears — anticipating needs and delivering proactive, efficient support to keep G&B moving toward our shared business goals and vision.

On top of this, you will be a wizard in navigating Google Workspace and also very comfortable using Word, Excel, PowerPoint, and Keynote. You should feel comfortable building close relationships with all VCCP agencies, clients, and all G&B studios worldwide, liaising with all levels of management. As you will be dealing with confidential material, discretion is paramount. You should be highly organised, proactive, and diligent, thriving on helping others. Reliability and flexibility are a must, and you should be unphased when working at a fast pace.

Alongside day-to-day diary and schedule management, you will provide essential support to the leadership team and collaborate with various teams to create presentations for new business and client meetings, while crafting engaging proposals and presentations with their guidance and support. Additionally, you will manage the G&B, Necessities bible and internal social events.

You will wear many hats to keep the agency running smoothly. You will be the brand guardian, the go-to person for new starters, and the driving force behind onboarding. You will also oversee kitchen upkeep, maintain general floor tidiness, and ensure office support is alerted to any issues that need attention. As a true people person, the EA will be the cornerstone of the department, always two steps ahead.

DUTIES AND RESPONSIBILITIES:

  • Extensive and complicated diary management
  • Understanding business priorities
  • Collaborating closely with Heads of Departments to ensure everything runs smoothly
  • Ability to think and make decisions quickly
  • Acting as a gatekeeper
  • Preparing for internal and external meetings
  • Ensuring rooms are booked and ready, pre-reads/presentations/CVs are printed, and all attendees are in place
  • Booking travel and managing itineraries with efficiency
  • Managing timesheets and expenses in a timely manner
  • Helping manage the end-of-month financial reviews
  • Managing the annual appraisal process for G&B
  • Being the social heartbeat of the company - organising company events, team-building activities, and spontaneous moments that bring people together
  • Conducting research to support business strategies, presentations, and decision-making
  • Creating agendas and taking minutes with precision
  • Organising interns/work experience placements
  • Courier and taxi bookings
