Job Overview

The Great Western Hospitals NHS Foundation Trust are recruiting for a Ward Clerk to support on Mercury Ward.

Work Hours:

  • 15 hours per week – 8:00 am to 16:00 pm, Tuesday and Wednesday
  • 12 hours per week – 16:00 pm to 19:00 pm, Monday, Tuesday, Wednesday, Thursday

The role requires you to have current right to work in the UK, enabling you to undertake the role without need of sponsorship. Accordingly, we regret that any application will not be considered if this requirement is not met. Given the current UK immigration requirements this role is not eligible for sponsorship, and it is not possible for the Trust to sponsor applicants for a visa for this role.

Responsibilities
  • Perform administrative duties and provide reception services for the ward/department, operating independently and using initiative.
  • Co‑operate closely with Medical Records, Secretarial staff and clinical staff.
  • Communicate at all levels with patients, relatives and medical colleagues to maintain a high standard of service.
  • Serve as the focal point of contact for patients, visitors and colleagues at ward reception.
  • Answer telephone calls, handle queries, transfer calls and take messages when needed.
  • Maintain accurate patient administration systems: amend demographics, input admission, discharge, referral and transfer information, and track health records to ensure current locations are recorded per Trust policy.
  • Maintain case notes, file paperwork and loose history, and liaise with health records.
  • Keep the admission and discharge book up to date and accurate.
  • Ensure the daily ward list is completed and accurate.
  • Receive and welcome visitors onto the ward and provide appropriate ward information leaflets.
  • Ensure property of deceased patients is handed to Bereavement Services and assist with patient valuables in collaboration with the Trust’s Security department.
  • Sort and distribute general ward/department correspondence (e.g., referrals to other departments or services) and post to staff members and patients.
  • Maintain the notes trolley on the ward – keep it dust‑free, serviceable and stocked with necessary paperwork to speed ward rounds.
  • Report and record maintenance problems to the Trust’s works department.
  • Attend relevant ward/department meetings and take minutes if necessary (e.g., MDTs).
