Job description
Summary

Assist in the day‑to‑day running of the accounts team. Sorting admin queries, answering the phone and supporting the team with various projects and account queries.

Pay & Hours

Wage: £21,280 per year

Hours: Monday – Thursday 8 am – 5 pm; Friday 8 am – 4 pm

Annual hours: 39 per week.

Start date: Wednesday 1 April 2026

What you'll do at work
  • Checking purchase orders against purchase invoices and jobs; ensuring well‑managed PO administration; reviewing checks to ensure correct matching and closing invoices when fully billed
  • Managing day‑to‑day purchase invoice processing; coding invoices correctly; accounting VAT; matching to POs; obtaining correct approval
  • Effective management of proforma invoices; ensuring prompt payment and reconciling with full VAT invoices, avoiding double counting
  • Adhering to agreed finance policies for each client
  • Reconciling supplier accounts when statements are received; requesting missing invoices or credit notes
  • Reviewing supplier ledgers for unusual items and matching credits
  • Assisting with supplier payment runs; running payment reports and sending remittance advices as required
  • Performing month‑end tasks: credit card reconciliations, staff expenses, fixed asset accounting, prepayments, accruals
  • Supporting review checks on VAT returns; resolving issues, inconsistencies or errors
  • Working collaboratively with the Clarkes team to ensure accurate invoice recording and procedure communication
  • Communicating with clients and suppliers using effective communication skills
  • Performing ad‑hoc administrative tasks and supporting the rest of the Clarkes team
  • Checking bank payments and supporting bank reconciliations
  • Supporting month‑end checks and reconciliations

Apprenticeships include time away from working for specialist training. You'll study to gain professional knowledge and skills.

Course contents
  • Record transactional data
  • Use the organization’s standard tools and processes to examine data for reconciliation issues and inconsistencies between invoices
  • Recognize and rectify routine errors, escalating as necessary
  • Plan and review accounting and finance tasks
  • Communicate with stakeholders to deliver accurate and timely results, avoiding jargon and tailoring language to the audience
  • Use finance and accounting software packages to accurately input and manage data
  • Handle data and digital technology in line with cyber and data security requirements, including backing up data
Training schedule

Apprentices will typically study online via the Mindful Education platform with some attendance at York College. Study periods will be consolidated with on‑programme learning in the workplace. An assessor/reviewer will visit every 8‑10 weeks to discuss and monitor progress.
