Job description

We are looking for a highly organised and proactive Executive Assistant to support the day-to-day operations of busy executives and offices. If you do not have extensive experience as a personal assistant or executive assistant, but you have a strong admin background, this is your opportunity.

This is a full-time, fixed-term post for 3 months in the College of Arts, Technology and Environment (CATE).

Responsibilities
  • To provide a proactive executive support service including active diary management, organisation and administration of meetings, and functions, receiving visitors and dealing discreetly with matters of a personal and confidential nature.
  • To carry out standard and non-standard administrative processes, including making and co-ordinating travel arrangements and supporting recruitment, induction and probation processes.
  • To organise and provide administrative support to meetings and events ensuring timely issue of papers and follow up of any actions agreed at the meeting/event and act as clerk to meetings as required.
  • To order stationery, equipment and supplies for the service and raise purchase orders, set up suppliers and carry out basic financial administration as necessary.
  • To make accurate and effective use of computerised office systems, including SharePoint and document storage and to create and revise documents (letters and papers), and reports and communicate changes to the rest of the team.

This post is based at our lively Frenchay campus where we have invested in the latest facilities and resources to give both our staff and students access to everything they need to succeed.
