Job summary

Job description
Role Overview

Provide first point of contact for service users and visitors through written communication, face‑to‑face and telephone contacts. Maintain confidentiality at all times, using tact, sensitivity and reassurance.

Key Responsibilities
  • Accept, sort and distribute mail including generic email accounts, file and retrieve notes, and scan documents into Service Users electronic notes.
  • Process internal and external referrals received by email, electronically or post.
  • Support appointment setting and assessments with Service Users as directed by Team Leads, Managers, clinicians and Consultants within OPMH CMHT.
  • Enter data into relevant IT systems and uphold all administrative processes including patient medical records, electronic systems and filing systems.
  • Photocopy, collate and distribute documents; manage room bookings prioritising clinical requirements.
  • Assist the Admin Lead/Team Manager with building management tasks such as entry fobs for new starters.
  • Flexibly support the team during breaks, holidays, sickness and training.

  • Excellent communication and IT skills commensurate with the role.
  • Friendly, enthusiastic, organised and a team player who enjoys being part of a team.
  • Previous experience working within an NHS environment is desirable; full training will be provided.
