The Role: Specialist, Office & Operations Support (Office Administrator/Executive Assistant)

We are seeking a self‑motivated, proactive, and highly organized individual with exceptional problem‑solving abilities and a strong commitment to delivering outstanding customer service to join our team as Specialist, Office & Operations Support.

As part of the S&P Global Market Intelligence (MI) Executive & Operations Support (EOS) organization, you will play a pivotal role in creating a seamless experience for employees and visitors at our Manchester office. This position offers a dynamic blend of office administration, operational coordination, and executive support, providing variety and impact in a fast‑paced, collaborative environment.

Key Responsibilities:
Office & Operations Support
  • Partner with site leadership, Facilities, and IT to deliver initiatives that improve employee engagement and collaboration. Organize town halls, divisional events, and office activities, including meetings, social gatherings, and special occasions. Generate creative ideas to keep engagement initiatives fresh and motivating. Assist with social engagement budget planning and provide cost‑effective options to ensure events remain within guidelines.
  • Engage with the building management company and wider stakeholder community for property‑organized events/visits.
  • Act as a primary contact for internal and external visitors. Manage some travel arrangements, office access, and agenda planning. Oversee client meeting room bookings and support all aspects of meetings and events—catering, logistics, materials, AV/Zoom setup, room configuration, and visitor hosting.
  • Serve as the first point of contact for general office queries (e.g., desk bookings, printing). Maintain strong working knowledge of conference room technology to provide basic IT support and troubleshoot common issues in collaboration with AV and IT teams.
  • Support processes for new hires, transfers, and leavers, including staff access cards, T&E, corporate credit cards, mobile phones, and other essential guidance.
  • Work closely with internal departments to align stakeholder expectations, coordinate resources, and optimize workflows for timely delivery of commitments.
  • Build and maintain strong relationships across the EOS team and wider organization to ensure effective collaboration.
  • Be ready to provide virtual support to MI staff members in the EMEA region as needed.
  • Some local/regional travel may be required.
Executive Support
  • Co‑ordinate complex calendars and schedules to ensure proactive and effective time management and prioritization of engagements.
  • Arrange complex international travel within policy, including visas and detailed itineraries.
  • Work collaboratively with internal stakeholders to establish clear expectations and ensure all deliverables are completed on time. Provide regular status updates as required.
  • Process expenses promptly and ensure all system approvals are completed. Maintain accurate and relevant workflow procedures.
  • Managing specific project tasks as required.
  • Working closely with other EAs, providing cover and other administrative duties as required.
What We’re Looking For:
  • 4+ years’ experience in office administration and executive support.
  • Polished and composed, able to work independently in a fast‑paced, dynamic environment. Skilled at reprioritizing tasks while maintaining a positive and proactive approach.
  • Exceptional communication, organizational, and time management skills, with the ability to coordinate effectively across teams and individuals.
  • Strong capability and enthusiasm for managing multiple tasks, events, and projects in a fast‑paced setting, often across different time zones.
  • Comfortable handling sensitive topics and confidential information with discretion.
  • Excellent collaborative skills, with the ability to anticipate emerging issues and plan proactively for success.
  • Advanced working knowledge of MS Office is essential, along with confidence in using systems such as Concur and Zoom.
  • Committed to fostering an inclusive environment and valuing diverse perspectives.
  • Minimum of 2‑3 days per week in the office, with flexibility for additional days as required by the business.
  • Working Hours: 9am‑5pm UK Time
