We are seeking a Shipping Coordinator to join our team on a full‑time, permanent basis, based in Basildon, Essex.

About the role:

As a Shipping Coordinator, you will act as the essential point of contact between shipping lines, port authorities, and clients, ensuring port operations run seamlessly. Your role will be central to coordinating smooth vessel movements, maintaining accurate records, and upholding compliance at all times. This is an exciting opportunity to play a key part in a fast‑paced maritime environment where teamwork, problem‑solving, and communication drive our success.

Working hours for this role will be Monday to Friday, 9am‑5pm in the Basildon office, with an out‑of‑hours on‑call rota (home‑based) covering evenings, weekends and bank holidays (paid overtime). You must be comfortable with going to port side.

Main duties and responsibilities:
  • Coordinate vessel arrivals and departures, liaising with captains, port authorities and clients to ensure smooth operations.
  • Prepare and manage essential documentation while maintaining full compliance with port regulations and international shipping requirements.
  • Monitor vessel schedules, update clients on changes, and provide support in resolving operational challenges.
  • Work collaboratively with customs, freight forwarders and other stakeholders to streamline port and agency processes.
  • Follow company procedures and participate in the out‑of‑hours rota, including boarding duties during evenings, weekends and bank holidays.
About you:

You are a proactive team player with strong communication skills and proven experience as a Ships Agent. You understand vessel demands, port processes and regulatory requirements, and you are confident attending port‑side when needed. You will handle fast‑changing situations with accuracy, maintain organised records and be IT proficient in MS Word, Excel and Outlook. A customer‑focused approach is essential for building strong client relationships. While mainly office‑based, you must be prepared to support port operations, sometimes at short notice. A valid UK driving licence, access to your own vehicle, flexibility to travel and the ability to work outside standard hours are all required.

This role is based in Basildon, Essex. If you are successful, you will be required to prove your right to work in the UK.
