An exciting opportunity has arisen for an organised, hardworking and enthusiastic individual to join our dynamic Events team at Hampshire County Council. The team provide a very diverse support role, with meetings, events and ceremonies taking place across the complex, which boasts over 80 meeting rooms with varying levels of specialist AV equipment. The Events team work closely with staff and external customers to ensure that meetings and events run smoothly and successfully.

The Role:

Are you passionate about delivering exceptional events and creating memorable experiences? We’re looking for a proactive and customer-focused Senior FM Assistant to join our Facilities Management team. This hands-on role blends behind-the-scenes coordination with front-of-house service, ensuring the seamless delivery of meetings, functions, and events across our facilities. Teamwork is an essential requirement of the role, enabling the team to be robust in providing an excellent standard of customer service. You will support each other to achieve common goals as well as individual targets. The team change layouts daily in multiple rooms across the site, set up AV equipment, assist staff booking rooms and manage aspects of the room booking software along with meeting organisers to discuss their requirements for larger events. We also operate webcasting equipment for several internal meetings, so they can be watched live on the internet by interested members of the public.

What you’ll do:
  • You will play a key role in supporting the setup and smooth running of a wide variety of meetings and events.
  • This includes collaborating with stakeholders to plan and arrange room layouts, providing AV equipment setup and basic technical support, and managing bookings through the in-house room booking system.
  • The role also involves acting as a concierge for large meetings and high-profile events, carrying out administrative duties such as attendee sign-in and visitor escorting, and ensuring event security.
  • Additionally, they will oversee the webcasting of Council meetings and consistently deliver outstanding customer service at every opportunity.

  • We’re looking for someone who is confident, dependable, and experienced in a similar role. You’ll be a strong team player with proven supervisory skills and a genuine commitment to excellent customer service. Your communication skills will help you build positive relationships with a wide range of stakeholders and handle situations professionally and effectively.
  • You will have sound IT skills and have a willingness to learn new systems and processes. The role can be very demanding during peak periods, with flexible working necessary along with overtime opportunities in the evenings and at weekends.
