Job summary

A leading regulatory affairs company in the UK is seeking an experienced Administrative Assistant to support senior regulatory professionals. The role involves scheduling, travel management, and expense reporting. Candidates must have over 5 years of office experience and strong knowledge of Microsoft Office, Outlook, and TEAMS, with familiarity in SAP and Ariba preferred. This position offers a hybrid working arrangement, combining office and remote work.

Annual Salary approx: £33,800

Overall Job Purpose:

To provide Administrative Support to the VP Regulatory Affairs (RA) and Harlow based senior regulatory professionals (Global RA Chief of Staff, VP Regulatory Operations and Senior Director EU Generics Regulatory Affairs)

Main Accountabilities:
  • To provide support when required to the VP and Senior RA staff with admin tasks.
  • Diary management for the VP and prioritising schedule to optimise time effectively.
  • To manage travel arrangements and other logistical support for the VP and Senior RA staff.
  • Complete expenses in the internal system in a timely manner for the VP and Senior RA staff.
  • Receive PoAs via e‑mail for printing, signing by the VP or other Senior RA staff and returning to the requestor via e‑mail and/or courier. Arranging for certain PoAs to be sent to a Notary Public for notarisation and apostille when required and recording details on a spreadsheet for invoicing purposes.
  • To assist with the compilation of Training & Travel requests, weekly; recording requests on an Excel spreadsheet for review/approval by the VP. Notifying the requestors of approvals/rejections.
  • Provide support for ad hoc tasks such as couriers, scanning, archiving, presentations, spreadsheets, etc. as requested. Collecting departmental in‑coming post.
  • Responsible for ordering stationery for Harlow RA department and receipting within Ariba.
  • Responsible for updating GRA organisation charts quarterly or when requested using Visio.
  • To raise and handle PO's when required through Ariba system.
  • To manage the internal EUDDC list on internal system.
  • To assist with occasional event management when required.
  • To handle Topra membership renewals for GRA annually and when required.
  • To become a SAP Concur (Travel & Expense) and Ariba 'Super User' so as to assist colleagues in the use of these systems.
  • To assist other Senior professionals across the department when requested and be the main point of contact for the Harlow RA department.
  • Within this role is it important to prioritise, plan and control the workload and to liaise/communicate with the team and to have good attention to detail and a high regard for confidentiality.
Qualifications, Experience, Knowledge, Skill and Specific Competencies Required:
Minimum Qualifications/Experience:
  • 5 years' previous office and administrative experience.
Knowledge:
  • Microsoft Office packages, Word, Excel and PowerPoint and Adobe.
  • Previous experience of Outlook and TEAMS.
  • SAP Concur (Travel & Expense) preferable.
  • Ariba preferable.
  • Knowledge of SAP preferable.
