Role Overview:

Provide an efficient schedule of work for all contracts and manage capacity for the periods that the works are required and meeting contractual SLA’s (both servicing and reactive / planned works) and work collaboratively with the contract administration teams and field engineers.

Key Responsibilities:
  • Deliver efficient scheduling and re-scheduling works as required and schedule at least one/two weeks ahead.
  • Reconciliations of the previous day’s work
  • Managing capacity to deliver the workload, liaising with contract teams
  • Analyse workload data to ensure best scheduling practice is used (i.e. geography / skill set / existing works scheduled)
  • Develop and promote best practice for processes and end users
  • Support with inbound/outbound customer calls relating to repairs and servicing for all clients in a courteous and professional manner
  • Answer customer queries and take ownership of any issues arising through to completion
  • Raise jobs and make appointments using the main customer database and complete any associated administrative tasks as necessary logging information accurately and concisely
  • Ensure all jobs are assigned to the relevant engineers within designated regional/client areas
  • Ensure the engineers are aware of their daily schedules by assigning work their work and communicating any specific requirements
  • Support customers’ expectations, keep customers informed for early or late arrivals, redeploying and rescheduling appointments
  • Study and maximise full use of contracted SLA’s for business benefit
  • Monitor the efficient operation of processes
  • Embrace any future plans or processes with enthusiasm, including any necessary training requirements which ensures confident use of potential future systems
  • Assign all emergency jobs to the relevant engineers within designated regional/client areas
  • Maximise diaries and support the delivery of the service team
  • Adapt to, and complete any additional ad-hoc requests as instructed by your line manager
Skills & Experience
  • Practical experience in scheduling, or similar, ideally within the housing or facilities sector
  • Experience with scheduling tools/software
  • Excellent communication skills gained within a customer focused capacity and confident communicating with clients, residents, engineers and management effectively
  • Strong organisational skills with the ability to manage multiple tasks simultaneously and prioritise effectively
  • Ability to work under pressure, managing challenging situations calmly with problem/decision making skills
  • Adaptable and flexible to deal with fast changing situations and environments, an agile mindset
  • IT literate with proficiency in in MS Office (Word, Excel, Access) and have the ability to learn new systems quickly
