A local medical practice in Hailsham is seeking a Referral Administrator to manage surgery referral processes and ensure patients are referred to appropriate services promptly. The candidate will handle referrals, support patient queries, and maintain accurate records adhering to GDPR. Administrative experience, an understanding of confidentiality, and NHS or GP practice experience are essential. You will work full time, with shifts from 8am to 1pm or 2pm to 6:30pm, within a supportive clinical team.
We are looking for a dynamic person to help manage the surgery's referral processes, ensuring patients are referred to the appropriate services in a timely, accurate and efficient manner.
Processing referrals generated by clinical staff in the practice
Monitor advise and guidance responses
Support patients with queries about their referrals
Hailsham Medical Group is an established practice serving some 11500 patients in the expanding market town of Hailsham. Thesuccessful candidate will be joining a forward thinking and well supported administrative/patient service team. We have a large clinical team comprising of GP Partners, Senior Clinical Pharmacist and Partner, Salaried GPs, Allied Healthcare Professionals, Practice Nurses, Nurse Associate, Health Care Assistants and Phlebotomist's.

The referrals administrator is responsible for managingthe surgerys referral processes, ensuring patients are referred to theappropriate services in a timely,accurate,and efficient manner.
The role involves working closely with GPs, clinicalstaff, hospitals, and community services to support smooth patient pathways andcontinuity of care.
Key duties and responsibilities
Process referrals generated by GPs nursesand other clinicians via eRS and other approved systems
Ensure referrals include accurate clinical information,attachments and coding
Track and manage referral queues and notifyclinicians of outstanding actions
Monitor and action Advice and Guidanceresponses
Support patients with queries regarding theirreferrals
Provide clear information to patients aboutreferral steps and expected timescales
Handle calls, emails, and online messagesrelating to referrals
Escalate concerns about urgent or delayedreferrals to clinical or management staff
Data and Record Keeping
Maintain accurate records of all referrals inline with GDPR and confidentiality protocols
Emis system to record referral activity

Experience and Qualifications
Administrative or customer service experience
Understanding of confidentiality
NHS or GP practice experience
Knowledge of referral pathways
Experience using eRS, Emis, Docman and Accurx
Working hours
Shifts are 8am-1pm or 2pm to 6.30pm
Full time 37 Hrs
