Overview
Full‑time, fixed‑term Referral Team Administrator role within the SOLAR Service based at Bishop Wilson Clinic, Chelmsley Wood. Provide a comprehensive range of administrative support to enable efficient referral coordination to the SOLAR service, along with various administrative support for our Looked After Children’s Team to ensure quality standards and targets are always met, delivering excellent patient care. The post holder will also support reception duties, operate within the Team's systems, and act as part of a wider administration team for the SOLAR service.
The SOLAR service is a Mental Health Service that supports our Children and Young People within the Solihull area and helps them transition off the service if needed.
Responsibilities
- Maintain and operate the referral process for the SOLAR service, ensuring all timeframes and deadlines are met.
- Monitor the Initial Assessment waiting list and activity, raising any referral process issues with the Referral Lead/Support Service Manager when needed.
- Provide and receive confidential and sensitive information via written, electronic, or telephone communication, ensuring all information is captured accurately in the patient care record system.
- Work independently or seek advice from the management team when dealing with potentially complex situations.
- Support formatting of letters, booking appointments, and coordinating/minuting meetings.
- Provide reception cover and cross‑cover support, offering assistance to other admin team members during absences.
- Perform ad‑hoc administrative tasks as directed by the Support Service Manager.
Qualifications
- Strong verbal and written communication skills with a professional attitude.
- Excellent attention to detail on data inputting.
- Ability to work on own initiative, demonstrate effective organisational skills, prioritise workload, and process enquiries confidentially and efficiently.
- Experience in a referral and administration process is desirable.
Working Conditions
Location: Bishop Wilson Clinic, Chelmsley Wood. Working days: Monday–Friday, 09:00–17:00. The role requires flexibility to cover reception duties as needed.
