Job summary

A leading NHS trust is looking for a pro-active Receptionist to join their Neuroscience Department in Oxford. The role involves greeting patients, checking them in and out of appointments, coding clinical data, and ensuring efficient operation of the reception area. Ideal candidates should have excellent communication, customer service, and computer skills, with the ability to work under pressure. Full training will be provided, and the working hours are Monday to Friday, 8 am to 5 pm.

Job description
Receptionist – Band 2-3 Link Grade

We are looking for a pro‑active, motivated individual who enjoys working in a challenging and busy environment within the Neuroscience Department. The successful candidate would ideally have experience of working in the NHS, although this is not essential. Applicants should be well organised with excellent communication skills and able to work well under pressure and be a key team player. Computer literacy and good customer service skills are a must although full training will be given.

We are pleased to be able to offer this exciting opportunity to play a vital role in planning and delivering this service in the future.

Salary: Full time 37.5 hours per week. Working hours are from 8 am to 5 pm Monday to Friday and 8 am to 5 pm some Saturdays. Rotas will be published in advance but all staff will be expected to work all shifts covering 7 days a week.

Responsibilities
  • Greet patients at reception in a helpful, polite and efficient manner.
  • Check patients in and out of their appointments, booking follow‑up appointments as required and ensuring that the RTT status is correct.
  • Register patients attending Eye Casualty, recording referrals on the system before creating appointments, and checking and letting out appointments.
  • Clinically code patient appointments from outcome forms on a daily basis.
  • Make and receive phone calls and scan paperwork.
  • Check all demographic details for patients on arrival, updating these appropriately whilst adhering to the Trust policies for data protection and patient confidentiality.
  • Register patient’s attendance on EPR in real time.
  • Deal with enquiries in a sympathetic and professional manner using tact and diplomacy when dealing with anxious patients and relatives.
  • Book follow‑up appointments accurately ensuring that the correct referral to treatment (RTT) status is recorded in accordance with Trust guidelines.
  • Ensure that special requests for additional support in clinics such as interpreters or sign language services are dealt with timeously.
  • Maintain all reception clinic lists – up to date and accurate – recording all late bookings, cancellations and DNA’s appropriately.
  • Ensure that outpatient procedure activity is captured from outcome forms using the HIM chart coding function in EPR.
  • Ensure all patients’ notes are present and prepared the day before the clinics, highlighting any missing notes to the relevant line manager for each clinic.
  • Arrange return transport for patients attending appointments at the request of the senior nurse or Arriva and Oxford Ambulance.
  • Keep the relevant reception area within the Directorate tidy and in good repair, reporting any defects to the relevant line manager.
  • Prioritise workload and work with minimal supervision.
  • Undertake further training as and when required.
