Job description

The post holder will be part of an administrative team whose responsibilities are to support the clinical services within the radiology department in managing the daily demand and to effectively prioritise incoming referrals into urgent and non‑urgent, this includes coverage for Obstetric ultrasound receptions and Mount Vernon Hospital X‑ray reception. The post holder will act as a Receptionist / Administrator to provide administrative support to our Superintendents when required and provide an effective, efficient appointment service to the department and the Trust. You will be a key member of the team and will participate in the improvement plan of patient care across the department. Please note that a willingness to work across our Hillingdon and Mount Vernon Hospital sites is essential.

  • Represent the department as the first point of contact (incl telephone) at the reception by welcoming patients in a friendly and polite manner.
  • To effectively utilise the radiology clinical systems i.e Soliton, PACs, Cerner & ViewPoint in supporting appointment booking and patient care.
  • Registering new patients on Cerner and crosscheck patient's demographic information with SPINE.
  • Manage the request forms in date order and enter any relevant information onto form regarding booking instructions.
  • Liaise with Superintendent regarding the issue of urgent appointments to comply with current targets.
  • Confirm with patients that they can attend their appointment (to reduce DNA's).
  • Rebook or re‑arrange appointments as appropriate. Liaise with Superintendent regarding any unusual or additional requirements.
  • Taking part in Department Audit and Staff meetings.
  • To ensure documentation is available in advance for antenatal clinic appointments.
  • Deal with GP, Midwives, Clinicians, Secretaries enquiries via the telephone, respectfully.
  • Cancel the rescheduled clinics and always contact patients directly to cancel / reschedule their appointments.
  • Liaise with Midwives, Consultants and other Departments within the hospital regarding clinics and general enquiries.

Any other business as required by the Radiology Admin Manager. This job description may be reviewed in the light of changing service needs and developments. Any changes will be fully discussed with the post-holder.
