Overview

An exciting opportunity has become available to become a Receptionist / Business Support Administrator. We are looking for a candidate who can provide an efficient and professional reception service and business support function to the department and its visitors. Acting as the first point of security for the building this role is intrinsic to the department.

Responsibilities
  • Be responsible for all visitors, checking identifications, checking vetting, issuing visitor passes, maintaining physical access and control systems for secure environments, maintaining visitor records, challenging visitors as required in accordance with National security protocols and managing conflict.
  • Work on own initiative, supervised and unsupervised ensuring a working knowledge of the security requirements for regional sites, maintaining the physical security of the building by monitoring the CCTV footage and intruder alarm activity and where necessary make assessments to determine the appropriate response and reporting based on threat, harm, risk and vulnerability.
  • Be the point of contact for contractors, escorting contractors/non police employees at the premises when necessary, ensuring contractors and visitors are aware of general health and safety procedures and site security requirements.
  • Take management of the department fleet. Recording monthly mileages, updating service and MOT records and organising timely vehicle workshop appointments. Monitoring POLAC reports and repairs and oversee cross charging between regional workshops where necessary.
  • Arrange meetings and record actions, organise secure video conferencing facilities and assist in the absence of the Admin & Finance Assistants.
  • Support all office administrative requirements such as receipt and distribution of post, ordering of site supplies, monitoring and updating site posters and literature and action requests for services, to include premises fault reporting, meeting room bookings and hospitality.
  • Assist in arranging and co-ordinating the 6 monthly fire evacuation tests. In the absence of the Handyperson, conduct the weekly fire alarm test of the building.
  • Provide an admin support function and assist the Admin & Finance Assistants as and when required.
Essential skills and experience
  • Experience of MS Office packages including Word, Excel and Outlook to include accurate inputting of data, using basic formulae and chart/graph creation.
  • Good customer service skills.
  • Attention to detail and accuracy, together with excellent time management skills.
  • Ability to communicate in a polite and professional manner at all times.
  • Experience of challenging assertively when required.
  • Ability to assimilate information and determine a way forward and be prepared to explain rationale for decisions/actions.
  • Ability to prioritise own work and deal with changing demands, together with experience of working unsupervised.
  • Experience of applying logical thought processes and judgement and apply procedures and policies when making decisions.

We are looking for cover Monday to Friday 8:00am – 4:00pm although a more flexible working pattern can be considered.

Security clearance and eligibility

This post is subject to a higher security clearance at MV and SC – Management Vetting and Security Clearance Level. To be eligible to apply for this role you must have a five-year ‘checkable history’ in the UK – ideally this means that you would have been resident in the UK for the last five years.

You must be a British citizen to work for the department. If you hold dual nationality, one component of which is British, you may also be considered. However, if successful, you may be asked to relinquish your non-British nationality (and any entitlement you may have to a foreign nationality) as a condition of your confirmation of appointment with the department. One of your parents should also be British or have substantial ties to the UK. In the latter instance, substantial ties means that your parent is a citizen of a British Overseas Territory, a Commonwealth citizen, US citizen, EEA citizen, British national or citizen overseas, and they would need to have demonstrable connections with the UK by way of family history or have been resident here for a substantial period of time.

If you are already married to, or cohabiting with, a person who isn’t a British citizen, you may still be eligible for employment at the discretion of the department. You should note however, that marriage to, or cohabitation with, a person who isn’t a British citizen after appointment may, in some circumstances, result in the withdrawal of security clearance and subsequent transfer to another department, or dismissal. Each case will be considered on its merits, taking into account the ties between the person involved and the United Kingdom.

Work on a bank or public holiday as part of the normal working week will be compensated in line with conditions of service.
