Front of house Walk In Centre Reception staff for Barnet Walk In Centres - Edgware Walk In Centre / Finchley Walk In Centre

We are looking for a friendly, organised, and professional Reception Coordinator to support the smooth running of our front-of-house services at the Barnet Walk-In Centres. You will provide high-quality administrative support, ensure the reception area runs efficiently, and offer excellent customer service to everyone accessing our services.

You will work closely with clinical and management teams and help create a welcoming, inclusive, and efficient environment for patients, staff, and visitors.

Ideally split between both sites but open for discussion

Main duties of the job
  • Greet, book in, and signpost patients, ensuring accessibility needs are met.
  • Respond to patient queries with empathy and clear communication.
  • Organise interpreters when required and consider urgency and safety (e.g., infection prevention).

Reception & Service Coordination

  • Oversee the day-to-day running of the reception area to maintain a smooth, professional service during all opening hours.
  • Support temporary and new staff, assisting with induction and general guidance.
  • Take initial responsibility for resolving routine issues and follow complaints procedures.
  • Provide reception cover at either site as needed.

Administrative Support

  • Use relevant systems (including SystmOne) to accurately enter and retrieve information.
  • Manage post, emails, scanning, photocopying, filing, and health records in line with protocols.
  • Send referrals, prepare documents, letters, and reports within agreed timeframes.
  • Maintain notice boards, resources, and departmental filing systems (electronic and paper).
  • Coordinate meeting and event logistics, including minutes and material preparation.
  • Contribute to statistical reporting and audits by collating and presenting information.

Communication & Teamwork

  • Communicate clearly using email, phone, written, and face-to-face channels.
  • Share team schedules and availability with relevant staff and partners.
  • Liaise with internal and external agencies regarding records, transport, or service information
