Job Summary

We are looking for highly motivated reception administrators to join our dynamic and friendly team at a state of the art GP Led Health Centre, rated "Outstanding" by CQC, located in Pinner. The practice operates 8am‑8pm, 7 days a week. We are an innovative and forward‑thinking EMIS practice committed to delivering the highest standard of patient care. Hours are mainly Monday‑Friday with some weekend cover required. Competitive salary offered.

Responsibilities

Reception Duties:

  • Greet and book patients for surgeries and clinics.
  • Handle patient enquiries efficiently and courteously.
  • Receive and record telephone messages, taking appropriate action.
  • Make appointments on Emisweb, processing requests for today, future appointments from patients in person and on the telephone.
  • Act as liaison with doctors and nurses, pulling and filing medical records as necessary.
  • Process repeat prescriptions and file for collection within 48 hours.
  • Take home visit requests and advise patients of relevant charges for private services.
  • Receive specimens from patients, ensuring details are recorded and Health & Safety policy is followed.

Administration Duties:

  • Maintain thorough knowledge of all practice policies and procedures.
  • Work in accordance with written protocols.
  • Provide administrative support for clinical staff.
  • File patient records and correspondence when necessary.
  • Open and distribute practice post.
  • Register new patients following the Registration Protocol.
  • Scan documents onto the medical system; all scanning should be cleared daily.
  • Send letters to patients as necessary.
  • Photocopy notes and other information, ensuring sufficient forms are printed or photocopied.
  • Update patient details on Emisweb (e.g., address, telephone numbers).
  • Cover for other team members during sickness and annual leave.
  • Carry out any other duties agreed with the practice to ensure smooth running.
