Job summary

As a Quality and Compliance Officer, you will support the Practice Manager and management team in ensuring that the practice complies with all regulatory and compliance standards. You will have a broad understanding and proven experience in the smooth running of General Practice, with the ability to work independently where required while observing confidentiality at all times. This role requires a good team player with an eye for detail and accuracy to support excellent patient care. Working hours will depend on the right candidate but will require continuity during the working week to ensure the smooth running of the practice.

Main duties
  • The post-holder will need to quickly become familiar with all functions of the Practice.
  • Be aware of statutory requirements and assist in their implementation as directed by the Practice Manager and Partners. Work closely with staff across all departments to maintain local and national standards and requirements.

Haresfield Surgery is situated within the Worcester City locality boundary and provides general medical services to approximately 18,300 patients. The Practice has six partners, eight Salaried GPs, Advanced Nurse Practitioners, Registrars, GP Clinical Pharmacist, dedicated Management and a strong Nursing Team, supported by skilled Receptionists and Administrators. It is located with excellent road links to surrounding towns and villages. A branch surgery is located in Kempsey, a dispensing practice serving around 4,500 registered patients.

Job responsibilities

Key Responsibilities

  • Premises: Support the Practice Manager with legal, regulatory and contractual inspections (e.g., 6 Facet Survey, Notional Rent Reviews, CQC Inspections).
  • Oversee Infection Control compliance and audits.
  • Arrange Fire Safety inspections and Fire Evacuations drills; ensure daily, weekly and monthly fire audits are completed.
  • Carry out, record and maintain all Health and Safety requirements for both sites, including COSHH, Fire Safety, Safety in the Workplace, Water and equipment risk assessments.
  • Maintain a register of premises issues reported by colleagues; liaise with management to organise and support 3rd party contractors to resolve problems.
  • Oversee Premises Management and repairs; manage cleaning contracts and maintain cleanliness standards.
  • Arrange PAT testing and calibration of relevant equipment; manage fridge temperature registers; oversee legionella testing to ensure compliance and safety.
  • Carry out Fire Marshall duties when required; manage room bookings for the practice and external bookings of shared facilities.
  • Governance, Compliance and Quality: Manage Policies and Procedures Register; support updates and annual reviews; assist in preparation for CQC inspections and ongoing governance; conduct internal audits and participate in external inspections; assist with investigations of incidents, errors or complaints; support management to investigate complaints and Significant Events; support planned meetings (Clinical Governance, PPG) and provide minute-taking support; maintain Business Continuity Plan; liaise to ensure appropriate indemnity and insurance policies; manage Risk Assessment Register.
  • Information Technology: Support IT projects and rollouts; assist with Online Access issues; support access to patient touchscreens and callboard as needed.
  • Team Collaboration: Provide admin support across multi-functional sites; collaborate to optimise patient service and safety; promote effective communication and teamwork.
Qualifications and skills

Experience in a General Practice setting is preferred but not essential. Skills include strong organisational abilities, attention to detail, confidentiality, excellent communication and teamwork, and proficiency with General Practice software (EMIS, DocMan, Klinik, Surgery Connect) and general IT literacy. Commitment to patient-centred care and ethical conduct.

  • Desirable software: EMIS; essential software familiarity includes EMIS, DocMan, Klinik, Surgery Connect.
  • Training and professional development: participate in annual performance reviews and maintain personal development records.
Working conditions

Flexibility to accommodate operational needs across both sites.

Place of Work: Based at Haresfield Surgery with travel to Kempsey branch as required.

Meetings: Attend meetings as required.

Health & Safety: Maintain health, safety and infection control responsibilities for self and others; implement guidelines and report hazards; ensure cleanliness and safety across work areas.
